Construction software

Why use Woub alongside job sheet apps and service tools?

As a contractor or subcontractor, you have a digital job sheet, but on arrival the plant room is still occupied. The installer calls the office, the site manager consults the client and the electrician needs to reschedule. Where does the next colleague find the new agreement? Particularly in a small construction company, that information can otherwise stay with one person.

Direct answer

Use Woub alongside your job sheet app when coordination around a job involves several people, companies and separate channels. Keep the service order, hours, materials and formal job sheet status in the existing service tool. Bring the additional project conversations and follow-up actions together in Woub. If communication in your current service tool already works well for everyone involved, an extra app for that process is not automatically necessary.

What do job sheet apps and service tools do?

A digital job sheet describes the assignment and records work carried out on site, such as time, materials, photos and a signature. Service tools may also support scheduling, installations, maintenance and invoicing. Construction site software may instead focus more on tasks, drawings and forms. Consider the workflow you want to improve.

Which job sheet apps and tools can you use?

The overview below covers OutSmart, Robaws, FieldBuddy, ENK Software, Teamleader, Fieldwire, Woub, Odoo and Exact Online Bouw. Simple-Simon is included as an additional service tool. Descriptions are based on product documentation checked on 22 October 2026. The overview helps you choose; it is not a ranking or a test of every function.

Tool

What do you use it for according to the product documentation?

OutSmart

Digital job sheets with time, materials, photos and signatures on site. Investigate the route from a scheduled assignment to a completed sheet and invoicing.

Robaws, with Wappy for site teams

Job sheets for time, plant and items, linked to projects and scheduling. Input through Wappy reaches Robaws; a job sheet can be used to create an invoice or order.

FieldBuddy Pro

Managing service requests and job sheets with work activities, parts, checklists, custom statuses and validation rules. Worth investigating for a structured field service process.

ENK Software

Digital job sheets on a tablet for time, materials, photos, notes and signatures. The completed sheet is available in ENK for further processing by the office.

Teamleader Focus

A job sheet extension for time, materials, mileage and signatures, connected to CRM and invoicing. The described function belongs to Focus; check the chosen subscription and extension.

Fieldwire

Construction site forms, including daily reports, quality inspections, timesheets and time and material records. Assess whether you need site records or a complete service process through to invoicing.

Woub with Werkbon & Docs

Making job sheets, project numbers, contact details and documents available within a project. Woub also organises project communication and follow-up; existing specialist administration retains its own role.

Odoo Buitendienst

Job sheet templates for field service tasks, with instructions and input fields. Templates are configured with Studio; activation may affect the pricing plan. Check the Odoo version used.

Exact Online Bouw

The construction app supports recording time, materials and delivery notes on site, plus access to scheduling and job sheets. This is the construction application, rather than only the general Exact Online app.

Simple-Simon

Digital job sheets, a planning board, time tracking and installation management. Technicians can record time, materials, photos and a signature on site, among other things.

The packages may support more than is listed here. Some combine several business processes. Assess available modules, rights, setup and costs for your situation; a logo in an overview does not prove an integration between products.

What suits a contractor with one to ten employees?

Start with the bottleneck, even if you do not yet use ERP:

  • The job sheet comes back incomplete. Investigate job sheet recording, mandatory fields and office processing.

  • You schedule many maintenance or service visits. Also investigate appointments, installations, history and handover to invoicing.

  • You record work on the construction site. Investigate tasks, forms and any link to drawings.

  • Agreements become scattered between businesses. Investigate complementary project communication and follow-up in Woub.

These needs may arise together. First choose where assignments and completed work are recorded, then arrange how everyone receives the latest agreement.

How do you use Woub alongside OutSmart, Simple-Simon and other tools?

Let your existing job sheet app handle the service order. First check the communication it already offers: Simple-Simon describes appointment confirmations and updates by text message and email, for example. Use Woub where additional coordination with the project team is needed: discussing questions, sharing photos, finding agreements and following up actions. Woub project chat keeps that communication with the relevant job. A chat message can be turned into a task with an owner and deadline.

Agree this allocation beforehand:

Information or action

Agreed place

Work instruction, time and materials used

Existing job sheet app or service tool

Discussions about access, changes and collaboration

Woub project communication

Action to investigate or confirm a change

Woub task with a person responsible and deadline

Final change to the instruction or agreement

Process in the designated service or scheduling system

Formal completion and invoicing information

Existing administrative process

The table gives a practical allocation of work. Discussing a change in Woub and processing it in the service tool are separate steps.

Example: the technician cannot start yet

Illustrative situation, rather than a measured customer result. A building services technician arrives for a final installation visit. The room has not yet been released for work. Their job sheet lists the planned work, but a solution requires discussion between the site manager, construction project coordinator and electrician.

  1. The technician reports the situation. Within the right Woub project, they share what is blocking work and which decision is needed, with a photo if necessary.

  2. The site manager coordinates a solution. Who clears the room and when can the electrician gain access? Those involved confirm the chosen sequence.

  3. The construction project coordinator processes the decision. The new visit time and any changed instruction go into the existing service tool. The reference to the decision stays with the project conversation.

  4. Everyone completes their own step. The site manager confirms access. The technician records the work actually carried out on the job sheet. The office checks administrative completion.

This avoids retyping the entire conversation in two places. The confirmed change must still reach the system used to carry out the next visit. Use the same recognisable project or order number so related information can be found together.

Calling when work is blocked on site

For an urgent matter, the technician wants to discuss it directly. With calling or video calling from Woub, they start the conversation from the project chat. Video can help show a situation. Wouby AI supports capturing and summarising supported conversations and automatically turns identified agreements into tasks. Check the outcome and who takes the action; an automatically created task does not change the job sheet.

Meetings about several service visits

A recurring work meeting has a different purpose: discussing outstanding items from several visits together. With meeting recording in Woub, the recording, transcript and summary can remain available around the meeting. Then place confirmed outcomes with the right projects and have the person responsible update the relevant service orders. Check the AI output for errors. Agree beforehand which conversations you capture and who gets access, under the recording and privacy policies of the organisations involved.

What does practice at Beentjes show?

Toegangspoort bij een woning, afkomstig uit de klantcase van Beentjes Hekwerk & Toegangstechniek.

Existing image from the Beentjes Hekwerk & Toegangstechniek customer case.

Beentjes already used ENK software for ERP and Exact Online for invoices. Yet project information became fragmented across WhatsApp, calls and email. In the published customer case, owner Barry Beentjes describes a colour change discussed by phone that was not communicated centrally, after which a gate was delivered in the wrong colour.

According to the same case, Beentjes uses Woub for internal and external project chats and checklists. During a site survey, examples include cable positions and the transport required for the gate. Such details connect preparation with the installers’ work.

The lesson for service work: good assignment records only help if interim agreements also reach the next colleague carrying out the work. The Beentjes case supports that communication problem alongside business software; it does not describe a combination or integration with OutSmart or Simple-Simon.

How do you stop Woub becoming yet another channel?

Woub can replace WhatsApp for your project communication, take over project actions from any separate task app and reduce daily project email. Agree which coordination will take place in Woub from now on and close the old parallel conversation. The job sheet stays in the existing service tool. This gives Woub a clear role in the workflow.

Start with one project and one recurring problem, such as changes to service visits. If everyone still maintains the same information in WhatsApp, email and Woub, the working agreement has not yet succeeded. Also assess whether your service tool’s built-in communication resolves the problem more simply.

Where do you formally record the job sheet and status?

The formal job sheet and service status stay in the application you use for them. Distinguish between three things: a question is resolved, a follow-up action is carried out and the service order is complete. These stages do not always coincide.

A task to ‘confirm a new appointment’ may be complete while the remedial visit has yet to happen. A message saying ‘installation complete’ may give the project team sufficient feedback, while the office still needs to check time, materials or the required signature. Agree who performs that final check.

Does ‘complete’ also mean fully checked?

Check exactly what a status means in the chosen product. The Odoo 19 documentation states, for example, that a saved job sheet may receive the label ‘Werkbon voltooid’ while some fields remain empty. Mandatory fields must be completed. Define which information your office needs before an assignment can proceed administratively.

What about Woub’s own job sheet capabilities?

De Werkbon & Docs add-on lets you add job sheets, photos, contact details and project numbers to a Woub project, among other things. The technician can therefore find the associated assignment information alongside the project conversation.

Keep recording and processing in your existing service tool. For a shared job sheet copy, appoint someone to process changes and state the version or date so the technician finds the current instruction on a follow-up visit.

Which Woub integrations are described?

Working alongside each other differs from automatic data exchange. Integration documentation exists for four tools in the overview. Their routes and scope differ:

  • Robaws → Woub, through Softwareshaker Connect. De Woub guide for Robaws describes project creation, transferring approved quotations into tasks and updating new quotations or orders within the same project. Client and subcontractor details may also be included.

  • ENK Software → Woub. De ENK integration guide describes transfer of project and contact data, including job number, description, address and project status. Activation goes through an ENK consultant. The guide from 2024 does not include transfer of time records or calendar data; have ENK confirm the current scope.

  • Exact Online Bouw (Bouw7) → Woub. De Woub knowledge base describes projects, contacts and accepted quotations as checklists. The Marketplace also describes a route through Connect Platform. First establish which route you use; do not apply settings or return flows from one route to the other. A general Exact Online account alone does not prove a suitable Bouw integration.

  • Teamleader → Woub: a setup to discuss. De Teamleader knowledge base page describes an integration that can be implemented based on events such as a new contact or an accepted deal. Listed fields include project name, project number, contact details and checklist items. This guidance dates from 2022: confirm current availability and suitability for Teamleader Focus before basing your workflow on it.

These descriptions do not demonstrate that a completed Woub task automatically closes a job sheet or writes financial processing back. Have that return step demonstrated separately if you need it.

For OutSmart, FieldBuddy, Fieldwire, Odoo and Simple-Simon, this article does not establish a standard Woub integration. Consult the current integration overview. Discuss custom API development as a separate project if appropriate, with agreements on data, direction, administration and error handling.

Can you start without an integration?

Yes. Choose one ongoing project and use a recognisable project or order number in both environments. Appoint one colleague to process confirmed changes in the job sheet app. You do not need to transfer the whole conversation, but you do need the information the technician uses for their next visit.

With many assignments, that manual step may become too much work. Before expanding, test how often data needs transferring, how much time it takes and where a demonstrated integration genuinely helps.

How do you involve external technicians and clients?

Involve external participants in the communication they need for their work. Woub describes free participation for invited external parties, such as subcontractors and clients. View the current pricing and conditions for your team composition and any add-ons.

Start internally with the colleague preparing the service visit and the technician carrying it out. Then invite an external participant for a specific job. Ask that person to find, answer and confirm a change. Check which conversations and information are actually visible; internal considerations do not need to go to the client.

Also agree who follows up a missing response. An invitation or posted message does not prove the new agreement has reached the technician. For an urgent change, call the person responsible, then record the decision within the project. More practical steps are in the article on bringing tradespeople and subcontractors into new construction software.

When is the trial successful?

After a few service visits, work through these questions together:

  • Could the technician find the right instruction and latest confirmed change?

  • Did the office, site manager and external party know who had to carry out the next action?

  • Did the change reach the existing service tool before the next visit?

  • Did separate messages and searching disappear, or did it mainly add data entry?

  • Do the improvements experienced outweigh use, administration and costs?

Choose beforehand which visits to follow and record where things go wrong. This lets you assess added value against your own work without assuming a saving.

Start small. Enjoy the peace of mind. Expand only then.

Want to test this with your own team? Try free for 14 days and use one ongoing project as your starting point. Keep the existing job sheet app authoritative and test whether Woub improves the coordination around it.

Frequently asked questions

Does Woub replace our job sheet app?

No. Woub supports additional project communication in construction. Your existing job sheet app remains the place for the service order and records configured there. The Woub Job sheet & Docs add-on can make job information available within the project.

Is a completed Woub task also a completed job sheet?

No. A Woub task may concern one action within the job, such as arranging access. Check and process the formal job sheet status separately in the existing service tool. Only assume automatic transfer when it has been demonstrated and tested for your setup.

Is Fieldwire the same as a job sheet app?

Fieldwire supports site records with tasks and forms, including time and materials tracking. A complete service workflow with appointments, installations and invoicing may require other features. Compare the required work process and chosen setup, rather than just the ‘job sheet app’ label.

When is a service tool alone sufficient?

When the existing service tool properly supports the instruction, feedback and coordination with all relevant participants, additional software need not add anything. Woub is particularly worth investigating if project agreements between several parties still become scattered across separate channels.
