Construction software
Woub vs WhatsApp: which works better for construction project communication?
A client tells the owner about a colour change. The installer reads their own project group and places an order based on the earlier agreement. The message was sent, but the change did not reach everyone. That is the problem behind much construction communication: too little shared context and follow-up, rather than too little contact.

Direct answer
Woub works better than separate WhatsApp project groups when a construction company wants to organise conversations, agreements and tasks within the project so they can be handed over. Woub combines project chats with calling, conversation reports and automatic tasks with an assignee. WhatsApp is free and familiar for messages, photos and calls, but construction project follow-up requires additional organisation. Choose Woub for shared work communication and retain ERP, BIM, DMS, estimating and specialist planning for their respective functions.
Why does Woub work better than WhatsApp for construction projects?
Woub organises communication around the job, so an agreement does not remain dependent on whoever happened to receive the call or private message. The tradesperson, site manager and construction project coordinator work with the same project context. An answer to a phone call can otherwise end up in a private message while the original question arrived by email. Someone then still needs to gather and pass on the information. Woub replaces that fragmented route for daily project coordination; the aim is not another inbox alongside all existing channels. Conversations are captured within supported Woub communication and Wouby AI turns identified actions into tasks with the right assignee.
WhatsApp can deliver a photo or question to someone very effectively. A project group, search function or pinned message can help. The difference arises afterwards: which agreement applies, who acts and can a colleague take over the work? In Woub, those project tasks belong to the same workspace as communication. This is particularly relevant with several ongoing jobs, changing teams and changes between preparation and site work.
Beentjes: a colour change did not reach the whole team
In the customer story about Beentjes Hekwerk & Toegangstechniek Barry Beentjes describes how a colour change was not shared properly: a black gate arrived instead of a dark grey one. WhatsApp groups, calling and email provided contact but insufficient shared information. In this case, Woub brings internal and external communication, drawings, updates and phase checklists together within the project. According to Barry, this led to fewer questions and errors.
The initial concern about another system needs to be read in that context. Invoicing and ERP were already organised. Woub does not add a second ERP: it replaces the separate communication route around the work. Financial administration stays where it belongs. The case substantiates this communication problem; it is neither an independent comparison test nor proof of every later AI feature.
What are the differences between Woub and WhatsApp?
The comparison concerns Woub as a construction project workspace versus ordinary use of WhatsApp and WhatsApp project groups. It does not cover every possible solution using Meta platforms, external bots or tailored development. Reference date: 23 October 2026.
✓ = available for the described use; × = the specifically described construction project workflow is not a standard part of the offer compared. Woub add-ons and subscriptions are explained in the notes. The crosses do not mean people cannot organise an agreement manually in WhatsApp.

WhatsApp has more group features than an outdated list covering only chat suggests. Meta describes member tags and event reminders. There are also voice message transcripts. This makes WhatsApp useful for contact and practical group organisation. The difference with Woub lies in the construction project route from conversation to recorded follow-up.
Woub features are based on Woub's product information and current product confirmations. This article contains no independent feature or performance test. Where relevant, WhatsApp feature availability varies by rollout, device and setting.
How does Woub automatically turn conversations into project agreements and tasks?
Use Woub for communication and supported conversations are automatically captured within the project. The output is more than a text transcript: Wouby AI creates a subject, summary and tasks with an assignee. That means the project manager does not first have to retype agreements from separate messages after the conversation.
From a phone call to a follow-up action
A site manager calls from the project chat about missing materials. The construction project coordinator will contact the supplier and report back. Wouby AI turns that identified agreement into a task for the project coordinator. The audio recording is the source that can be replayed; the status, feedback and points still awaiting confirmation are in the summary. See how calling in Woub works.
Without an agreed deadline, Woub dates the task for today. That suits quick coordination about current work, but does not mean a supplier has confirmed delivery for today. Check what was actually agreed. An AI task does not prove formal approval of additional works either.
If one conversation covers three jobs, there is still one conversation report. Wouby AI identifies the projects and links specific tasks to the right project. You then see them by project and in the overall task overview. Easily sharing report sections between projects is still in development.
In-person discussions and spoken instructions
The built-in voice recorder lets you record a work discussion without starting an online meeting. The recording of in-person discussions fits within the same project workspace. With Wouby Actions, you can also give a spoken instruction from the car to send a chat message, create a task or create a project. This is more than dictating a message: the instruction concerns a project action.
A WhatsApp voice message can be useful, and transcription makes its content readable. But the message is not automatically divided into tasks for the right projects. Equally, a WhatsApp call is not automatically recorded or processed in Woub. The automatic route applies to supported Woub communication, rather than all conversations on your phone.
Pro helps teams discuss recurring problems
Wouby AI Pro provides a weekly management report with insights into costs arising from errors and rework and advice on making better use of Woub and working arrangements. This lets the team discuss recurring problems in preparation, handover and feedback. Reducing costs arising from errors and rework remains a process: the team assesses alerts and implements improvements. Read about reducing costs arising from errors and rework in construction.
How do you keep track when several people work on several projects?
Make the project the shared place for information, rather than one person's phone. The same company often has several groups and private conversations for each job. The owner can therefore become the only person who knows which photo, commitment or change belongs to the work. Woub makes that context shareable with the project participants involved.
Heldoorn: no more reorganising photos in the evening
At Heldoorn BV photos arrived through WhatsApp, email and phone. According to Frederik, putting that information into folders and sharing it further took time in the evenings and at weekends. In the Woub workflow described, photos and communication go straight into the project, with agreements and checklists for colleagues. He describes more ownership among site teams and less dependence on him as the channel for information.
Also, RSV Telecom describes duplicate work: sending documents before the working day and putting handover photos back into office folders afterwards. Bringing the project file to the employees involved shortens that back-and-forth route. That is the key: the photo goes straight to a useful place in the project, rather than being collected again afterwards. These older experiences do not prove automatic Wouby AI processing.
A replacement needs context and outstanding tasks
At Bouw Totaal Emmeloord a change could reach the wrong construction project coordinator. The case describes how project templates, chat history and tasks help handover during holidays or illness. The company uses Woub alongside KYP and Admicom, among other tools. According to the customer, the result is greater continuity and clarity, rather than replacement of specialist software.
WhatsApp can also make earlier information available. The official Group Message History feature lets participants deliberately share between 25 and a maximum of 100 recent messages with a new group member; administrators can restrict this. That is valuable, but is not the same as automatically handing over the full project archive and outstanding tasks. In Woub, a participant added later sees the full available history of the chat they gain access to by default. That chat access remains limited by project permissions.
Clear division of work as you grow
At 1–10 employees the priority is often enabling a colleague to stand in for the owner. With 10–100 employees project coordination, site teams and administration need to use the same route across several teams. With 100+ employees access, changing participants and administration across departments need extra attention. Company size alone does not determine the choice; the number of handovers and simultaneous projects matters too.
Woub also supports sharing information with several chats in one action through the available bulk feature. Always decide which participants need the content. Wider distribution is not automatically better communication; the current agreement and assignee need to remain recognisable. Give participants access to the projects and conversations they need. One shared project workspace does not mean every employee must read every message from every project.
How does Woub work with subcontractors and existing construction software?
Subcontractors participate in project communication while ERP, BIM and other specialist applications retain their own functions. An external construction team therefore does not need the same administration package to see the same site work agreement.
Free external participation and translation within the project
Woub is free for invited external project participants, including participation in project tasks and the Wouby AI workflow within the contractor's paid workspace. Within their project permissions, a subcontractor can pick up tasks and use available AI conversation reports and follow-up actions without taking out their own paid Woub or AI subscription.
This distinguishes the described Woub workflow from a free WhatsApp group: the external participant joins the same construction project follow-up as the internal team, rather than only exchanging messages. The contractor's subscription and project permissions determine available features; free participation does not mean general administrator rights, independent access to all Pro features or visibility of all company data. See Woub for subcontractors.
The free Woub Translate extension translates project text messages into the configured language. Participants can therefore write in their own language and read translated replies. This concerns text; no universal live translation of phone conversations is promised. Explore the Woub Marketplace.
Small companies without ERP: site information within the job
Construction add-ons for time and materials, job sheets and documents, forms and planning extend the project workspace for specific purposes. For small companies without ERP, having site teams capture data within the job is practical, as administration can use it to prepare invoices. These extensions do not form a complete ERP or automatically create an invoice in the financial package. Assess costs and availability for each add-on.
Estimating, ERP and documents remain recognisable sources
With CUF import you turn selected estimate line items into site work checklists. Specific connections exist for ERP, such as Exact Bouw through Connect Platform. An import or connection has a defined scope; it does not prove universal synchronisation with all construction software. Read about Woub alongside ERP.
For documents, there is a deep SharePoint integration, OneDrive links and a simple folder structure through an add-on. You can export a construction checklist with selected data as a PDF project file. Through Handover with signature you record names and signatures; the export appears under media and documents. This is a specific checklist and handover route, rather than a general signing solution for every document. A signature does not replace every required approval process. The current revision remains primary in the designated document or model workspace.
In the Claassen & Smits case drawings shared through WhatsApp created uncertainty about who had the right version. The customer describes project information and checklists in Woub alongside SnelStart for finances. The lesson is to make the right document source recognisable and organise follow-up; it does not mean every shared Woub file is automatically formally released or technically synchronised with SnelStart.
How do you switch from WhatsApp project groups to Woub?
For a trial project, replace shared work communication rather than permanently posting every message twice. Woub feels familiar to many users because its mobile workflow is based on messages and photos. Still, switching requires clear agreements and help with the first activity.
Start with one real job and one recognisable agreement
According to Woub, you can set up the basics in five minutes. This does not promise that a complete rollout with all connections, permissions and team arrangements is ready in five minutes. Create a project, invite those involved and let the site manager and a subcontractor ask a question, make a call and find the follow-up task themselves.
At Brouwers Groenprojecten a familiar way of communicating helped the move from work notes, Excel and WhatsApp. The company started with a trial and then expanded. The case concerns landscaping projects and one company's rollout experience; it does not guarantee problem-free adoption in every construction team.
Close the old route for new project agreements
Agree a start date: new work questions and agreements for the trial job go into Woub.
Transfer relevant outstanding items and necessary documents in a controlled way. This is not an automatic import of the entire WhatsApp history.
Tell participants in the old project group where to ask questions from now on.
Help people who revert to WhatsApp and put the substantive follow-up agreement in the chosen project workspace.
Ask an absent colleague to find a real agreement and take over the outstanding task.
Retain WhatsApp where permitted and useful for contact outside this shared project route. The aim is to prevent a site change becoming hidden in a private conversation. Also test practical operation on site devices: can an installer find tasks, do relevant notifications arrive and is the necessary information readily available? A good structure only helps if the chosen route is usable during the working day. For the broader rollout approach, read about getting tradespeople and subcontractors on board.
Arrange access and recording agreements
Personal WhatsApp messages are end-to-end encrypted. This article therefore does not describe WhatsApp as generally unsafe or prohibited. With either solution, assess what information is needed, who gets access, how recordings are announced and which retention periods apply. The European privacy regulators explain the general principles. A product choice is neither an independent security audit nor a guarantee that every processing activity is automatically configured correctly.
What does Woub cost compared with free WhatsApp use?
WhatsApp is cheaper in subscription costs: ordinary use is free. Woub Business costs €39 per month for one administrator plus five users. With six participants, that averages €6.50 per person. Woub Pro costs €79 for the same distribution: an average of €13.17. These are averages at full occupancy, rather than separately available user subscriptions.
Comparison | Monthly total | Average with six participants | What do you pay for? |
|---|---|---|---|
Ordinary WhatsApp use | €0 subscription costs | €0 | Messages, groups and internet calling; you organise construction project follow-up yourself. |
Woub Business | €39 | €6,50 | One administrator and five users, with Business communication and AI workflow. |
Woub Pro | €79 | €13,17 | The same user distribution with Pro features, including the error and rework cost analyst and reporting. |
Invited external participants in Woub | €0 for the external participant | €0 per invited external participant | Free project communication, project tasks and the Wouby AI workflow within the contractor's paid workspace and project permissions. No separate paid Woub or AI subscription needed for this participation. |
Woub is billed annually. Check VAT, roles, add-ons, connections and guidance on the current pricing page and quotation. Invited external participants work for free within the contractor's paid workspace and their permissions; that is not the same as adding unlimited administrators for free.
The trade-off: are you paying for less information transfer and better follow-up?
The business question is not whether a WhatsApp message costs money, but how much work you currently do to make messages usable for the project. Think of reorganising photos, updating an absent colleague and checking who is handling a change. Measure that in your own trial; do not invent hourly rates or savings.
The customer cases cited show which problems companies recognise and which improvements they report. They are supplier case studies, rather than a guarantee of the same outcome for every team. Use the complete process as the measure: finding the current agreement, following up the task and handing over work. Read more about construction project communication or try Woub free for 14 days.
Frequently asked questions
Why should I pay when WhatsApp is free?
With Woub, you pay for a construction-focused project workspace with communication, automatic conversation capture and task follow-up. The question is whether this reduces your current searching, handover and information transfer work. WhatsApp remains free for ordinary use; no guaranteed payback period is promised. Business costs €39 for one administrator and five users, averaging €6.50 across six participants.
Doesn't WhatsApp have tasks, reminders or transcription?
WhatsApp has group organisation, event reminders and voice message transcription. That differs from Woub's specific workflow: processing a supported conversation into a project report and tasks with an assignee and project context. You can organise an agreement manually in a group. The comparison does not deny that possibility.
Can new participants see the entire WhatsApp history?
WhatsApp lets recent group history be shared deliberately with a new group member; according to the product information consulted, this ranges from 25 to a maximum of 100 messages. That is not an automatic, complete project handover. In Woub, new participants see the full available history of the chat they have access to by default. Also ask a replacement to test whether the current agreement and outstanding task are clear.
Does Woub automatically process ordinary phone calls and WhatsApp calls?
No. The automatic capture described applies to supported communication through Woub and recorded in-person meetings. Another calling channel or an incoming WhatsApp call does not automatically become a recorded Woub conversation. The other person also needs the Woub app for Woub calling.
Can a subcontractor participate for free?
Yes. An invited subcontractor participates for free in project communication, project tasks and the Wouby AI workflow within the contractor's paid Woub workspace. They do not need their own paid Woub or AI subscription to participate. The contractor's subscription and project permissions determine what is available. WhatsApp is also free, but does not offer this described combination of construction project tasks and AI follow-up. Free participation does not provide general administrator rights or access to all company information.
Do we need to stop using ERP, BIM or our accounting system?
No. Woub replaces scattered project communication, rather than ERP, BIM, estimating, DMS or specialist planning. Financial processing and formal changes remain in the applications used for those purposes. A Wouby AI task does not automatically change those systems. Check the specific connection and agree who handles processing and feedback.
