AI in construction
Which AI notetaker suits your construction company?
The site meeting has been neatly summarised. Yet the installer arrives at the wrong time the next morning. The changed time was in the report, but nobody organised the follow-up. Choose an AI notetaker according to both the conversation and what needs to happen to agreements afterwards.

Direct answer
Choose an AI notetaker for your construction company on three points: which conversations you record, what report you need and where participants follow up agreements. Plaud may suit recording on the move or at a table; other suppliers support online meetings and sometimes in-person conversations too. Woub combines supported conversation capture with daily project communication and automatic tasks from identified agreements. If you already use a suitable workspace with follow-up, first test what it covers. Checking remains necessary.
Why is Woub more than an AI notetaker?
Woub organises daily ad-hoc project communication between the office, site and external parties involved. You can chat, call, hold meetings and organise tasks within each project. For supported conversations, Wouby AI creates transcripts and summaries and automatically turns identified agreements into tasks. The project context connects the record with daily coordination. View the explanation of Wouby AI.
This does not make Woub the only application with tasks or shared information. Other notetakers and work platforms also offer follow-up. For a construction business, the choice concerns the complete workflow: can the person carrying out the work find, understand and deal with the agreement?
Use three checkpoints:
Checkpoint | Practical question for your construction team |
|---|---|
Conversation captured | Was the change understood correctly, including project, location and conditions? |
Outcome checked | Has an authorised employee checked the agreement and any uncertainty? |
Follow-up visible | Does the site manager or subcontractor know what to do and who checks that it happens? |
This is an editorial selection guide, rather than a quality mark. A good transcript may cover the first step while the other two still need work. Woub remains complementary to ERP, BIM, estimating, DMS and specialist scheduling.
What do Plaud, Fireflies, Copilot and Notuly offer?
Plaud combines recording products with transcription and summaries. The provider positions Plaud Note for conversations and calls, among other uses, and NotePin for conversations where your hands need to remain free. That may suit recording on site. Choose the device for the conversation you actually have; functions differ by device, language and software version. View the current Plaud products.
Fireflies offers recording through a meeting bot, desktop app, mobile app and audio or video files, among other routes. Searching conversations and creating tasks through supported work tools also form part of the offering. Anyone meeting both online and on site should therefore test the appropriate recording route and delivery of action items. See the Fireflies product guide.
Microsoft Copilot in Teams can process conversations and suggest follow-up actions within the supported Microsoft environment. Microsoft distinguishes use during the meeting from use both during and afterwards; transcription plays an important role in the latter route. Licences and administrator settings determine the capabilities. If your construction team already collaborates well in Teams, investigate that setup first. See the Microsoft documentation.
Notuly describes an app for in-person, hybrid and online conversations, with reports, decisions and action items. According to the provider, the report stays private until shared; Word export and custom templates differ by subscription. This is relevant if your main aim is to distribute a usable call or meeting report. Also check how recipients follow up actions. View the Notuly workflow.
What do Fathom, tl;dv, MeetGeek and NotulAI offer?
These providers emphasise different things. Compare their own product documentation against your workflow, rather than just their summaries.
Provider | What does the provider describe? | Decisive test for a construction business |
|---|---|---|
Meeting capture with or without a bot, summaries, searchable transcripts and transfer to supported work tools. | Can you find a decision, and does the follow-up action reach the right employee? | |
Meeting notes, reporting across several conversations and automation of follow-up work in supported applications. | Can you distinguish relevant information about a particular construction project from other conversations? | |
Recording through a meeting agent, desktop and mobile, among other routes, with sharing, analysis and automation. | Which recording route works at your location, and how do you configure handover and access? | |
Audio upload, transcription and minutes based on a template, with checks of names and figures and export capabilities. | Do project names, amounts, conditions and decisions remain clearly identifiable in your standard report format? |
An action list, an assigned task and a resolved action item are different outcomes. Ask to see all three in a demonstration. This comparison is based on official product information consulted on 22 October 2026; no comparative product test was performed.
How do ClickUp, Notion and monday.com compare with Wouby?
ClickUp, Notion and monday.com connect AI notes with a broader workspace. That may appeal if your team already manages documents, projects and actions there.
ClickUp AI Notetaker describes transcripts and summaries in Docs and automatically turning action items into assigned tasks. Notion AI Meeting Notes connects call and meeting information with documents and project context and describes follow-up through agents. monday AI Notetaker links summaries and actions to boards, items and workflows; you determine the project and owner.
The relevant choice is therefore not whether other tools can also create tasks. They can within their supported setup. Check whether the site team and subcontractors actually participate there. If handover already works well, no extra application is needed. Woub is particularly relevant where daily project questions, calls and coordination between parties still become scattered across separate channels.
How does Woub combine calling, project chat and files?
When calling you start from the relevant project in Woub. Wouby AI processes supported conversations into a summary and tasks from identified agreements. A construction project coordinator can therefore see later what was agreed about that job. See calling from a project.
For a construction meeting you record the discussion and generate a transcript, summary and action items. A business using its own minutes format can use the transcript as a source. The final report still needs checking. See recording meetings.
An illustrative example — N-01: during a refurbishment, the installer reports that they cannot come until Thursday. The site manager discusses the consequences with the construction project coordinator, who checks whether the change affects other work and informs the subcontractor involved. Use N-01 as an identifiable reference for the follow-up agreement.

Connect the conversation record within the project to further communication. For example, share the relevant photo or question in the project chat and check the task with the person carrying it out. Keep a formal programme change or drawing in its designated system. The recording helps with tracing information; the checked agreement determines the work.
Why does ease of use matter for tradespeople and subcontractors?
An application adds value only if people on site can work with it. Test it with a tradesperson and subcontractor who do not use the system daily in the office. Ask them to raise a project question, find the relevant agreement and report that an action is complete. Also investigate which invitation and access rights are needed.
Agree which communication moves to Woub. Where appropriate, let Woub replace separate WhatsApp project groups and any separate task app, and limit daily project email by keeping questions within the project. This creates a clear workflow. Continuing to share the same information across three channels retains extra searching and checking work.
Start with one project. After a few working days, assess which actions needed explanation, which information still arrived elsewhere and who had to repair the handover. Ease of use is demonstrated through that use, rather than a promise that everyone participates without guidance.
How does a project manager maintain oversight across a project?
A project manager needs more than an archive of reports. For each important agreement, it must be clear which project it belongs to, who takes the action and whether a decision is still missing. Agree who checks automatically created tasks for content, owner and deadline. Check which information each participant can see with the configured permissions.
What does the experience of Karel Kamp show?

In the public Woub case, construction project coordinator Roland Balk describes employees sometimes calling him and sometimes Angelo on site. Through summaries in the project chat, he can see what a colleague discussed with site teams, even if he was not on the call. Roland also uses transcripts from Woub with his own minutes template in ChatGPT.
This customer experience reveals two needs: sharing information with absent colleagues and creating usable meeting minutes. The ChatGPT step is this customer’s workflow, rather than a demonstrated native integration. The case is not a comparative test of notetakers. Read the full Karel Kamp experience.
What does Wouby AI Pro add to address costs arising from errors and rework?
In the Karel Kamp case, Angelo describes analyses highlighting possible delays, missing materials and feedback required. Such warnings may prompt reassessment of a project agreement. They do not prove that a risk actually occurs or costs have been saved.
If you are interested in Wouby AI Pro, have the analyses available for your subscription and setup demonstrated, including which information they rely on and who needs to act on them. The Woub pricing page lists, on 22 October 2026, a queue with ‘Q4 live’ under Pro. That page therefore does not confirm general availability for every business. Base the choice for daily recording first on the supported conversation and task workflow; include broader risk identification only once the specific functionality is confirmed.
When is a standalone AI notetaker sufficient?
A standalone AI notetaker may be sufficient if you mainly want to capture conversations and an existing workflow already gets the checked outcome to the right people. An example is a regular construction meeting where one employee checks the minutes and oversees actions within the existing project process.
Investigate complementary project communication if the problem arises between those meetings: separate calls, subcontractor questions, changed agreements and photos that fail to reach colleagues. You do not automatically need to leave your notetaker for this. First establish which specific problem the combination resolves and who manages handover.
Can you combine Plaud for construction meetings with Woub?
You can make a Plaud recording and a Woub project part of the same workflow. Have an employee check the conversation outcome and share the necessary agreements within the right project. First establish which export and sharing capabilities your Plaud product offers. Such a manual handover does not require a proven automatic integration.
For example, test a construction meeting where the delivery date changes, but only subject to supplier confirmation. Check that the qualification remains in the minutes. Only then share the right follow-up action. Do not quietly turn a provisional proposal into a final construction instruction.
Which technical routes exist through export, Zapier and the Woub open API?
There are three different routes to investigate:
Manual handover. An employee checks the conversation outcome and shares relevant information within the project. Test the available export format and avoid unnecessarily distributing a whole transcript.
Automation through Zapier, for example. This requires the necessary trigger and action to exist on both sides. A listing for Plaud or Woub on an automation platform does not itself prove a complete working route between these two products.
Custom development through the Woub API. The Woub guide describes integrations that your own IT partner or supplier can build, depending on the external system’s capabilities. This requires technical development. See the Woub explanation of API integrations.
Before automation, document which conversation belongs to which project, which checked data may be transferred and who sees an error. Also test a corrected report and a second send. Otherwise automation can distribute a wrong agreement or create duplicate tasks. This is testing advice, rather than a description of a built Plaud–Woub integration.
Why has the standard Plaud–Woub integration not yet been confirmed?
For this comparison, no standard integration between Plaud and Woub has been established with documentation of the complete data flow and a successful practical test. We therefore do not present automatic transfer as an available standard function. This does not mean custom development is impossible.
Have the suppliers involved confirm the specific route, conditions and responsibilities. Meanwhile, start with a manual workflow only if it suits your process. The question is whether a checked agreement arrives properly, rather than how many logos can technically be connected.
Which privacy, pricing and process considerations matter?
Privacy. Before use, establish which conversations you want to capture, which personal data is processed, who gets access and how long data is needed. Have the person responsible for privacy assess the specific recording and processing route. Processing personal data requires an appropriate lawful basis; consent is not automatically the only or correct choice. The EDPB names several lawful bases and highlights the conditions for valid consent, including in employment relationships. See the primary EDPB guidance. A summary is also a derivative account that may contain errors; do not treat it as automatically conclusive evidence.
Costs. Compare device costs where applicable, licences, included recording or processing hours, storage, export and any automation. Include checking and handover too. A cheap report that someone must redistribute every day may require a different workflow from a slightly more extensively configured environment. Request a current price for your usage; this comparison deliberately contains no rapidly outdated price list.
Trial with your own work. Use the same recognisable situations to compare candidates: a phone conversation, an in-person construction meeting and an online meeting if all three occur. Include a changed time, project name, technical language and conditional agreement. Then check intelligibility, correction, recipient access and visible follow-up. Record what remained manual and which information someone had to ask for again. This provides more useful selection information than merely judging whether a summary reads well.
Start small. Enjoy the peace of mind. Expand only then. Is your main aim to bring daily project conversations and follow-up together? Try Woub free for 14 days with one project and assess the workflow together with the office, site team and a subcontractor involved.
Frequently asked questions
Which AI notetaker is best for a small construction company?
That depends on the conversations and follow-up. Choose an appropriate recording route on the move, at a table or online. Then check how you review the report and share agreements. If the existing workflow handles that well, a standalone notetaker may suffice.
Can other AI notetakers create tasks too?
Yes. Various suppliers describe action items, automatic tasks or transfer to work tools. Compare the supported setup and check whether your site manager or subcontractor can actually see and follow up the action.
Do I need to replace Plaud if I want to use Woub?
Not automatically. You can manually share checked information from a recording within a Woub project. Decide who handles that handover. This comparison has not established a standard connection for an automatic Plaud–Woub route.
Is an automatic task also an approved change?
No. Check what was actually agreed, which conditions apply and who can decide. A task may specifically be intended to investigate a proposal further or request permission.
Can I keep using my own meeting minutes format?
Investigate whether the chosen application offers custom templates or a usable export. Woub describes using a transcript with your own meeting notes template. The final minutes need checking before sharing.
