AI in construction

Which AI software suits your construction company?

A construction project coordinator drafting a letter, a site manager forgetting agreements and a planner comparing execution options need different solutions. Choosing AI for a construction company therefore starts with the work that needs improving, the existing software and the people who need to act on the output.

A construction project coordinator wearing a headset checks a construction drawing beside a laptop in a site cabin.

Direct answer

Choose AI for the specific construction process: Woub for supported project conversations and automatic tasks, general assistants for text and analysis, and specialist software for quotations, inspections, models or planning, for example. The overview compares 80 tools, product families and other entries on AI features, availability and limitations. If AI is not confirmed in your existing construction package, you can use Woub alongside it for conversation reports and follow-up. That neither adds AI to the package itself nor means an automatic connection; the responsible person keeps the source system current.

Which AI route fits your construction problem?

Start with the problem you want to solve this week. The examples below are a conditional shortlist based on the research, rather than a ranking or purchasing advice without a trial.

Your bottleneck

First route to investigate

What does the trial need to demonstrate?

Agreements disappear after phone conversations with colleagues or subcontractors

Woub / Wouby AI for supported conversations

The right task reaches the right person and project; the source can be found

Drafting texts or documents within existing office software

ChatGPT or available Microsoft Copilot functions

The employee gets a useful draft from the right sources and can check it

Mainly meeting minutes needed

The note-takers compared below, or Woub if the meeting is recorded there

The route records the audio source used and produces a useful record

Work is already in ClickUp, Notion or monday.com

The AI functions of that work platform first

The colleague carrying out the work can use the outcome without routine retyping

Reading quotations and finding relevant information

12Build AI quotation analysis

The assessment refers to the right quotation content; the buyer checks the conclusion

Recording inspection items faster

STA AI photo records

The proposed description fits the actual defect; the inspector assesses it

Allocating field service capacity

FieldBuddy Go AI scheduling; vPlan Byte only with beta access obtained

The proposal fits skills, availability and travel time; the planner decides

Classifying BIM objects or performing model actions

BricsCAD BIM; Solibri AI Chatbot within the required edition and beta

The specialist can check the model output and changes made

Your construction package has no confirmed AI, but conversations still cause handover problems

Woub alongside the existing package

AI supports the conversation and follow-up; the employee keeps the source system current

Want to check a detail? The full inventory below can be reached by category through the contents. All 80 entries remain included, including unconfirmed AI and product names needing further specification.

Which AI software categories are useful in construction?

Look first at the desired outcome, then the product name. An AI assistant can draft text; a note-taker can record a conversation; specialist software can analyse project data. Suppliers increasingly combine these functions. The classification below is therefore a selection guide, rather than a firm dividing line between products.

Use the software landscape to establish where source information belongs. AI is not automatically a new layer taking over every existing package.

Work process

Which outcome are you looking for?

What needs to remain the primary reference?

Text, research and analysis

A useful draft or overview from permitted sources

The checked source and substantive assessment

Conversations and meetings

Transcript, summary and identified actions

The conversation in context and checked record

Daily project communication

Those involved know what applies and who takes the next step

The current agreement and appropriate access

Work and knowledge organisation

Maintaining tasks, documents or workflows

The chosen environment and information owner

Design, quantities and scheduling

An analysis or option based on project data

The specialist assessment and approved version

Woub complements ad-hoc project communication and does not replace any part of ERP, BIM, DMS, estimating or specialist scheduling. That distinction remains relevant if those systems offer AI or communication functions themselves. Only add something for a specific problem not sufficiently solved by the existing approach.

Illustrative example: a supplier reports that a delivery will be late. A general assistant can help draft a response. A note-taker can record the conversation. A work platform or Woub can help organise the daily action. The planner assesses implications for site work, and the order owner updates the order. A good summary does not automatically perform those other actions.

The broader categories and supplied software landscape are explained in types of construction software and how they connect. Here, the focus is choosing the appropriate AI function within that landscape.

When do you choose ChatGPT, Copilot or construction-specific AI?

Choose a general assistant if you mainly want to understand, compare or develop information. Investigate AI in the existing Microsoft environment if the work already takes place there. A construction-specific communication environment becomes relevant when the handover between office, site and external parties is the bottleneck.

ChatGPT: de official product explanation describes using and analysing files and using them as sources for new work, among other things. That may suit a draft letter, document comparison or development of permitted notes. Supply the right sources and check the outcome. A polished answer is not technical construction approval or an approved cost estimate.

Microsoft Copilot and Teams: first investigate what your licences and management settings support. Microsoft documents AI recap for Teams calls and meetings. Functions and conditions differ by route. Teams and Copilot are therefore more than a standalone text assistant.

Microsoft also describes Facilitator in Teams, with meeting notes and other support. Task follow-up through Planner is listed as public preview in the documentation consulted. Do not treat a preview as a production-ready function available in every account. For the more detailed assessment, read Woub alongside Microsoft Teams.

Woub and Wouby AI: this combination connects daily construction communication with follow-up. You call through a Woub account or record a live meeting. Wouby AI creates a transcript and summary, automatically turns recognised commitments into tasks and assigns the person responsible. Without a known work date, the task is dated today. If a conversation covers several projects, one conversation record remains and specific tasks are linked to the recognised projects. This concerns supported Woub communication, rather than automatic recording of every ordinary mobile call.

Personal AI help or shared project context?

A good individual assistant does not automatically solve the handover to site. For a draft letter, one employee can assess the outcome. For an agreement about access, delivery or extra work, several people need to know what applies and who acts. Ask not just ‘how good is the summary?’ but also ‘after the conversation, is the right task assigned to the right person and project?’

Woub combines this with project chats, calling and the built-in recording function for live meetings. Through Wouby Actions, you can perform supported project actions with spoken commands, such as sending a message, creating a task or creating a project. The construction-specific setup also includes project templates, construction-focused add-ons and documented integrations. Other strengths include Copilot's deep Microsoft 365 integration and the broad customisability of general work platforms.

Invited external participants use accessible tasks and the Wouby AI workflow free within the contractor's paid environment and their permissions. That is a significant selection criterion if the subcontractor needs to carry out the action. It does not give every participant an unlimited Pro environment of their own.

Which is better, then: Copilot, ClickUp or Wouby AI? For existing Microsoft work, a trial of the available Microsoft route makes sense. For work already organised in ClickUp, test its functions first. If daily site coordination remains outside that approach, also assess the Woub route. The relevant boundary is the actual handover, rather than the label ‘general’ or ‘construction-specific’.

In practice: Karel Kamp combines Wouby AI with its own minutes template

At aannemer Karel Kamp, Roland Balk describes automatic tasks after Woub conversations. For detailed meeting minutes, he also uses the exported transcript and existing company template in ChatGPT. The choice is therefore not one AI product for everything: Woub records project communication while an additional assistant helps develop the desired report format. Minutes still need checking.

In practice: BTS keeps 2Jours and uses Woub for communication

BTS Bouwbedrijf describes a similar division of responsibilities. The business with 17 people uses conversation records and project information in Woub; 2Jours remains for scheduling and administration. The same project numbers connect the approach, without the case demonstrating an automatic integration. Owner Arkadiusz estimates the benefit at around 50 communication actions and one working day a week. That is his own estimate, rather than an independently measured effect of AI.

Which AI note-takers suit site meetings?

Choose based on both the recording method and handover of the result. An in-person site meeting, online meeting and phone conversation have different requirements. Check which audio sources the chosen route actually records; ‘works on mobile’ does not mean every conversation type is recorded in full.

The functions below were checked with suppliers on 23 October 2026. This is not a ranking or our own practical test. Subscriptions, availability and recording methods may change.

Tool

Documented focus

Where do you test its role alongside Woub?

Plaud

Recording equipment and associated transcription and note-taking approaches

Does the recording suit your meeting, and how does the checked outcome then reach the project team? Do not assume an automatic Plaud–Woub integration

Fireflies

Transcribing and summarising conversations, with different recording and file routes

Fireflies also offers action items. Test which follow-up already works and whether project communication still leaves a gap alongside it

Fathom

Meeting notes, searchable transcripts, summaries and action items

Assess whether intended participants can use the outcome and which daily coordination remains outside the meeting

tl;dv

Meeting knowledge, summaries and workflows for follow-up, among other things

Investigate the supported handover to your work environment; only add Woub for a specific communication need

A note-taker may be sufficient when someone processes the checked outcome well afterwards. Some products offer further follow-up themselves. If Woub already records the intended meeting appropriately, a second recorder may create extra management and copying work.

Test a Dutch conversation with relevant technical terms and the equipment you actually use. Include a condition, an open question and a correction. Can the reviewer find the source? Does the action reach the right person? And can a colleague who was not at the meeting take over the agreement?

The more detailed comparison is in which AI note-taker suits your construction company?. For a transcript and your own minutes template, there is a separate approach to AI minutes.

What can ClickUp, Notion and monday.com do with AI?

These platforms may make sense when teams already organise their work and information there. They offer more than writing text alone. Compare their current functions fairly and include setup for tradespeople and external participants.

Platform

Checked function example

What do you test before choosing Woub as an addition?

ClickUp Brain

Summarise tasks, create project updates, find similar tasks and create subtasks; context and access are limited

Does conversation to task to person following up already work in your setup? If so, ‘also has tasks’ alone is no reason to add Woub

Notion Agent

Create or edit pages and databases using context from the workspace and connected sources, within user permissions

Is Notion the existing knowledge and work environment, and does the site team receive the current agreement without extra copying?

monday Sidekick

Analyse board data, update items and create content; AI workflows are also available

Is the workflow configured for both office and site crews? Assess where daily project coordination still falls outside that route

Notion also has AI Meeting Notes. The documentation distinguishes recording through desktop, browser and mobile; these routes may capture different audio sources. A platform may therefore be a knowledge environment, work organiser and note-taker at the same time.

With monday, AI workflow capabilities differ by product, subscription and rollout. Check the functions you need rather than making one general licence claim.

What specifically makes Woub construction-focused alongside these platforms?

The distinction lies in combining daily construction conversations, project context and collaboration with parties outside your own business. ClickUp, Notion and monday.com also have AI, tasks, templates and external collaboration options. The examples below therefore show Woub's documented approach; they do not prove another platform could never support this.

A phone conversation becomes a project agreement with follow-up. A tiler calls about a missing bathroom detail. Wouby AI records the supported conversation and automatically creates tasks linked to the person and project concerned. The office colleague can automatically find the conversation record on desktop and consult the recording if needed. The user checks whether the recorded agreement is correct. This is the specific chain to compare with your existing setup: conversation, project context, person responsible and retrievable source. See how Wouby AI works. Automatic tasks and desktop availability since the release of 22 October 2026 have additionally been confirmed by Woub.

The subcontractor participates in the same project environment. The site manager might invite the installer to the refurbishment project. Woub describes free participation for invited external parties, within the permissions and capabilities of the paying business's environment. Project coordination can then also reach the tradesperson outside your own workforce. Check which participation rights and AI functions the current subscriptions offer. This does not claim guest access is paid on every other platform.

The next construction project starts with the same agreed structure. For a bathroom refurbishment, you can prepare chats by discipline, a project preparation checklist, tasks and documents in a project template, for example. The Woub guide to project templates describes carrying over chat structure, checklists, tasks, files and people, among other things. Old chat messages are not copied. The construction-focused benefit comes from recording your standard approach in that structure, rather than simply from a template existing.

A snagging item from Ed Controls reaches the site manager in Woub. De documented Ed Controls integration turns a ticket into a Woub task and brings information into the corresponding chat and checklist. Status changes pass from Ed Controls to Woub. Activation, matching project names and an appropriate Woub account for the person responsible are conditions. Ed Controls remains the specialist system for the ticket; this source does not prove two-way synchronisation. The integration is a specific construction example, rather than proof that every automatic handover uses AI.

The same choice appears at Karel Kamp and BTS Bouwbedrijf: Woub supports daily project communication alongside other software. Their experiences are described separately above. Demonstrate in a trial whether this approach improves your real handovers. If the construction project coordinator permanently needs to copy every agreement between two complete action lists, the setup is not yet good enough.

What does specialist AI do in BIM, estimating and scheduling?

Specialist AI processes different data from a conversation assistant. Examples include design models, drawings, quantities and scheduling conditions. Assess the specific function and input quality. Not every automatic check in construction software is AI, and not every AI output is suitable for site work.

Design and the BIM working environment: Autodesk Forma Site Design supports early design and site studies, including AI-assisted analyses. That differs from a final structural judgment or an approved construction model. Check the stage, model version, assumptions and specialist assessment. Woub can support discussion and follow-up around that assessment; it does not take over model analysis.

Quantities and estimating: Togal describes using AI to recognise, measure and compare information from drawings. Determining quantities is one step. A complete cost estimate also needs scope, prices, labour, risks and other project-specific assumptions. Test scale, units, exclusions and the current drawing. Woub can help raise missing explanations or deviations to check, without replacing quantity measurement or estimating.

Programme: ALICE describes AI for investigating construction scenarios and scheduling choices. This needs project data, constraints and assumptions. A scenario is not yet an accepted programme. The planner assesses feasibility and establishes which version applies. Woub can support discussion of the implications and informing parties involved; specialist scheduling remains a separate function.

These examples are not a recommendation to buy three new packages. First investigate functions in your existing specialist software and request a demonstration with your own permitted data. The supplier needs to show which output is produced and who can assess it.

For a delayed delivery, you might want to know which activities and parties are affected. AI text that only says ‘adjust the programme’ is not a calculated answer. Conversely, a calculated programme option does not automatically ensure the subcontractor knows the changed agreement.

Construction-specific AI for weekly improvement

Wouby AI Pro includes an analyst for costs arising from errors and rework, with a weekly management report on waste and advice on using Woub and processes better. The value lies in finding recurring causes and making working agreements from them: sharing information earlier, adding a project-template check or clarifying task responsibility. That does not replace financial review of actual costs or independent judgment on construction quality. Woub has confirmed the product functionality; a report is a starting point for assessment and improvement, rather than a guarantee that every cost arising from errors and rework is found. See the subscriptions and the detailed explanation of reducing costs arising from errors and rework.

How does Woub AI extend your existing construction software?

Does your construction software lack AI, or AI functions for conversations and follow-up? You can use Woub alongside it. You keep your existing ERP, estimating, scheduling or file system. Wouby AI records supported construction conversations and automatically creates recognised commitments as tasks, with the person responsible and project. You use AI for communication around your construction software without switching packages first.

From conversation to task, alongside your existing package

A site manager might discuss a changed delivery through Woub. Afterwards, the record and recognised follow-up tasks are available. The commitment to have the new delivery day confirmed reaches the person responsible. All conversation records are automatically available on desktop; the employee can consult the conversation source if in doubt. The planner assesses the confirmed outcome and processes the change in the current programme.

That division also works for other practical construction questions:

  • Alongside ERP, such as Admicom or Proteus: Woub records the change discussed and follow-up action. The person responsible processes the checked outcome in project administration or the specialist area concerned.

  • Alongside estimating software: a missing price, quantity or scope agreement becomes an enquiry with an action owner. The construction estimator assesses the answer and updates the cost estimate.

  • Alongside scheduling and job sheets: a conversation about a delivery or service visit produces follow-up tasks. The planner or construction project coordinator then updates the programme or work order.

  • Alongside BIM, quality software and document management: Woub keeps the discussion and follow-up actions retrievable. The specialist assesses the content and manages the current model, inspection or document version.

These are examples of using systems together. Woub does not thereby add an AI function to the other package or automatically write changes into it. Without a separately confirmed integration, an employee processes the outcome in the source system. A specific exception is the previously described Ed Controls integration: it can transfer tickets and status from Ed Controls to Woub under the documented conditions.

How customers apply this division

At BTS Bouwbedrijf, scheduling, estimating and invoicing remain in 2Jours while Woub supports project communication. Matching project numbers help recognise information; the case does not show an automatic integration. At Karel Kamp, agreements from Woub conversations automatically enter personal task lists. The cases support these described approaches, rather than automatic connections to every construction package.

At the start, agree where daily tasks are followed up, who processes the checked outcome in the source system and how a colleague takes over the work. If the existing environment already handles conversation recording and follow-up well, extra software is not automatically necessary.

How do tools in the construction software landscape use AI?

Researched on 23 October 2026: the overview contains 80 tools, product families and other entries from the article choosing construction software and the three associated software landscapes. BricsCAD BIM is covered separately from Bricsys 24/7. The first 64 entries appear in the construction categories; 16 general tools follow. Some supplier names and the NAS storage category are also included. Where no specific product is identified, AI status cannot be established.

‘No specific AI function confirmed’ does not mean ‘this tool has no AI’. For 33 entries, research found no specific AI function of their own for the user workflow concerned. SnelStart does mention AI for identity verification; that differs from an accounting assistant. Available supplier information, technical accessibility and product identity limit the findings. An API, ordinary automation or a general AI strategy does not prove an available AI function.

The tables separate built-in AI, integrations, beta/roadmap and unconfirmed functions. They state what the supplier describes, rather than what we established in a logged-in practical test. A software help assistant answers different questions from AI analysing project documents or models.

The tables describe the named tools' own AI functions. How Woub can support communication alongside them appears in the preceding section on Woub AI as an extension. No automatic integration with the named packages is assumed.

Which AI do the general tools in the landscape have?

These 16 entries are not exclusively construction-specific software. They appear in the landscape because construction companies use them alongside their specialist systems. The AI function may belong to a separate subscription, a different product or just one app within a product family.

General — finance

Financial AI can support recognition, administration or analysis. A support bot or identity check is a different application from an AI accounting assistant.

How do you compare costs, privacy, integrations and implementation?

Compare the whole approach, including checks and management. A low starting price or convincing demonstration says little if the site team cannot use the outcome. Start with one recurring task and a result identified beforehand.

Business size helps choose areas to examine, but is not an automatic package selection:

Business situation

Where do you start?

What most affects the choice?

Around 1–10 employees

A specific action causing time loss or handover problems

Simplicity, required functions and cover during absence; an existing diary or action list may be sufficient

Around 10–100 employees

A handover between office, site and external parties

Roles, project identity, version control and feedback without permanent duplicate work

Around 100+ employees

A clearly defined process within the existing software setup

Management, authorisation, source ownership, checked integrations and scalable support

A small specialist business may need complex model analyses. A large organisation may use a general assistant for a simple text task. The process and information need matter more than a staffing threshold.

Costs: alongside the subscription, include user roles, any AI credits or minutes, recording equipment, setup, guidance and checking work. Show which existing actions stop and which remain. A trial period or free participant route does not mean every management and AI function is free.

Privacy and access: decide which data you process for which purpose and who can access it. The EDPB describes the basic principles for personal data. Ask suppliers about processing, parties involved, retention, deletion and appropriate agreements. A certification logo or business product name does not prove your whole approach is configured properly.

Integrations: have one specific data flow demonstrated. Which project number is used, which data goes in which direction, who may change it, and what happens after an error? An export, plugin, API and configured synchronisation are different routes. A successful transfer in one direction does not prove two-way exchange.

Implementation: first test internally whether the route works, then involve the right site people. Use the same task, data and assessment criteria for the options compared. Deliberately include an unclear agreement and later correction. Check the source, necessary remedial actions and result for the person following up.

Ultimately, choose based on the checked outcome: better understanding, useful records, correct follow-up or appropriate specialist analysis. Keep self-assessment, supplier claims and actually measured results separate. No general time saving or error-free site work is guaranteed.

If the problem concerns conversations and daily project agreements, try Woub free for 14 days. Check the current capabilities and conditions for the number of administrators, participants and desired Business or Pro functions.

Frequently asked questions

Which AI software is best for a construction company?

That depends on the work process. General assistants support text and analysis, notetakers help capture conversations, work platforms organise information and specialist AI processes design or planning data, for example. Test existing capabilities first and assess handover and required checking. No overall winner has been established.

Which is better for a construction project: Copilot, ClickUp or Wouby AI?

Investigate Copilot for supported Microsoft processes and ClickUp Brain for work organised in ClickUp. Wouby AI within Woub connects supported project conversations with summaries and automatically assigned tasks, with free participation for invited external users within the paid workspace. Run the same relevant process through the options and check whether the right people can use the output.

Does a small construction company need specialist AI?

Sometimes, if a specific design, quantity or planning problem calls for it. Start with the task and the expertise needed to assess the output. A smaller solution or existing workflow may suffice for simple text or records. Staff numbers alone do not determine the choice.

Can notetakers and general work platforms follow up actions too?

Yes, various products examined offer action items, tasks or further workflows. Compare current features and conditions fairly. Adding Woub only makes sense if a specific daily project communication need is not adequately met.

Does AI for quantities replace a complete estimate?

Identifying and measuring quantities is one part of estimating. A cost estimate also needs correct scope, prices, labour and risks, among other things. Check the drawing, scale and units used and have the estimator assess the output.

Is an available API sufficient proof of a working integration?

No. Check the configured data flow, permissions, project identity, direction and error handling. An export or transfer to one system does not prove that changes also come back correctly. Woub remains complementary to the specialist source systems.

Can external subcontractors work with Wouby AI too?

Yes. Invited external participants use accessible project tasks and the Wouby AI workflow for free within the contractor's paid workspace. Permissions and subscription determine what is available. Assess this alongside the licence and guest conditions of other solutions; ‘guest’ does not automatically mean full AI access.

Can I use Woub if my construction software has no AI?

Yes. You can use Woub alongside existing construction software for AI conversation reports and automatic tasks from supported conversations. Your ERP, estimating, planning or record system remains the source system for those activities. Without a confirmed connection, the employee processes the checked change there themselves. Woub therefore adds AI to communication and follow-up around the package, rather than to the package's software code or features.

Does ‘no AI confirmed’ mean a tool does not use AI?

No. It means no specific AI feature for the described user workflow was confirmed in the public sources examined. The supplier may have other, internal or new AI applications. An unknown product identity or technically unreadable source limits certainty further. Ask for a current demonstration of exactly the feature you need.
