The future of AI in construction: why connection is becoming more important
AI makes construction software smarter. But how do conversations, agreements and actions reach the right companies? Woub's three-layer context model shows why connections around the construction project are becoming more important.

By: Floris Meulensteen

Direct answer
According to Woub, the future of AI in construction also involves shared project context: relevant conversations, decisions and actions shared by the companies involved. Personal AI and business software help within their own contexts. Project communication remains necessary for collaboration between companies. Woub supports that ad hoc communication alongside existing construction software. Autonomous AI agents updating external systems are a future scenario in this article.
How will AI change construction in the coming years?
AI can help construction professionals process information faster and follow up agreements better. Think of a conversation available afterwards as a summary, with specific tasks for those involved. The next question is whether that information also reaches the people carrying out the work together.
A construction project crosses company boundaries. The main contractor, installer and painter have their own administration, work processes and software. A smart assistant within one company does not automatically know what the other parties have agreed. That is why we expect shared project context to become more important: the relevant conversations, decisions and follow-up actions that the companies involved can share.
This is a vision of how collaboration may develop, rather than a prediction that all construction companies will use the same system. Existing ERP, BIM, estimating, DMS and planning software retain their own functions. Woub adds ad hoc project communication alongside them.
The AI paradox: more smart software, but also more digital silos
More AI does not automatically mean stronger connections. A personal assistant can create an excellent report while the subcontractor still waits for confirmation. A business application can speed up an internal process while a changed agreement exists only in a phone conversation.
A familiar construction situation
Suppose a site manager hears by phone that a delivery will be late. The construction project coordinator has the old agreement in their overview. The subcontractor sets off based on that earlier information. This is an illustrative example, rather than a customer measurement. The problem lies both in the quality of individual systems and in handover between people and companies.
Start with three questions: where does the agreement arise, who needs to know and where is follow-up visible? An AI application is only useful for this process when those three questions have clear answers.
Woub's three-layer context model: personal AI, business AI and shared project context
The three-layer context model is an explanatory framework developed by Woub. It is neither a generally recognised AI standard nor software certification. It helps distinguish information for yourself, information within your company and information that several companies need around a project.
1. Personal AI context
Here, AI supports an individual user, for example with a recording, summary or preparation. The first question is what you can understand or process faster. Next comes deciding which information to share with others.
2. Business context
This concerns an organisation's processes and data, such as finances, purchasing and project administration. Business software can offer automation and AI within that context. Available capabilities differ by product and setup.
3. Shared project context
This concerns coordination between independent companies working together on a project. What was agreed? For which project? Who needs to act, and who needs to know? Shared context means the right participants can see relevant information with appropriate access permissions. It does not mean all business data is open to everyone.
Which AI software belongs in which context layer?
Assess software according to the process you want to support. A product can serve several context layers. The classification below is therefore a selection aid, rather than a definitive ranking or full feature comparison.
Context and examples | Question to ask when choosing |
|---|---|
Personal capture: AI notetakers such as PLAUD and Fireflies | How do you capture conversations and share the outcome with the right participants? |
Business processes: software such as Exact and AFAS | Which administration and internal processes do you need to support? |
Construction project collaboration: Procore and Autodesk Construction Cloud, for example | Which project processes and collaboration between parties do you want to organise? |
Ad hoc project communication: Woub with Wouby AI | How do you connect daily messages, conversations and follow-up with the right project? |
Procore and Autodesk also offer collaboration between organisations. It would be wrong to place all other software exclusively within one company. Woub's complementary role concerns accessible ad hoc communication. Anyone seeking an integrated process for design, model coordination or administration should assess the solutions intended for those purposes separately.

Why is an AI notetaker different from a shared project workspace?
An AI notetaker primarily captures a conversation and helps process its content. A shared project workspace also organises how participants communicate and follow up around a project. These are different starting points that can complement each other.
Fireflies also offers ways to collaborate around meeting information, for example. The question is therefore not whether a notetaker can ever share information. It is how the full work agreement travels from a conversation to the right project, the right people and visible follow-up.
Can the subcontractors involved find the relevant information?
Does it remain clear which project an agreement belongs to?
Is it visible who checks and picks up the follow-up action?
Do you avoid redistributing the outcome through separate channels?
A notetaker can suit individual capture or a meeting process well. Daily coordination between several companies also requires organised project communication.
Why does a smart ERP system not automatically replace project communication?
An ERP system supports business processes. That does not yet determine how every spontaneous question, change by phone or agreement between different companies reaches the right participants. An agreed communication workflow is needed too.
Suppose a subcontractor calls from site about the sequence of work. That coordination needs to be available to whoever acts on it next. Whether your ERP already supports that process sufficiently depends on the product, setup and use by the parties involved. Investigate that first.
Woub always complements existing construction software. It does not replace any part of ERP, BIM, estimating, DMS or specialist planning. An open API is also not proof that a specific connection already exists. Before an integration project, specify which data can move between which systems and who is responsible.
From vision to practice: how contractor Karel Kamp uses Wouby AI

In the updated customer case, construction project coordinator Roland Balk explains how Karel Kamp uses Wouby AI to make conversations available to colleagues who were not on the call. Summaries appear within the project and agreements automatically become tasks. That connects daily communication with follow-up through AI.
Angelo describes daily project analyses and weekly waste overviews. Roland also uses exported transcripts with his own minutes template in ChatGPT. He estimates that, across all meetings, this workflow saves him at least half a working day each week. These are reported customer experiences, rather than a general impact measurement or guarantee for other construction companies.
The ChatGPT step is the customer's own workflow, rather than a demonstrated native integration. Have the availability of analyses, deadlines and assignment confirmed for your setup. Read Karel Kamp's public customer story.
What can Woub do today, and what is the future vision?
Woub brings chat, calling, meetings, recording in-person meetings and task organisation together around construction projects. Wouby AI supports transcripts and summaries and automatically turns identified agreements into tasks within supported communication. This is current functionality, rather than a future promise.
Check that the captured agreement is correct and the right person picks up the follow-up. Have the precise assignment rules, default deadlines and availability of more extensive analyses confirmed for your situation. We make no promise here of universal daily risk reporting or guaranteed savings.
A future vision is not an available connection
A scenario in which AI agents independently exchange information between different companies' ERP systems goes further. We describe this as a long-term scenario. It does not promise that Woub currently updates external administration systems autonomously. See the explanation of Wouby AI and discuss which features are available for your workflow.
Why does the human side of collaboration remain important?
AI can process information, but people determine what an agreement means and whether it is workable. A summary can miss context. An automatically created task may need checking for content or responsibility. Make someone responsible for that check.
Start small: choose one project, involve a site manager and a subcontractor, and record how you confirm changes. Also agree which conversations you record, who gets access and how you handle sensitive information. Align that workflow with the arrangements and policies of the organisations involved.
Then assess whether people actually find information and follow up actions. Collect feedback from both site and office teams. An additional application only helps if it fits daily work.
Working with Bouwend Nederland on the future of AI in construction
Woub is an AI partner of Bouwend Nederland. Bouwend Nederland also publishes information about Woub and AI in project communication, including summaries and action items after conversations.
The relevant question for construction companies remains practical: how do you make AI useful in daily work? Start with recognisable communication problems, understandable applications and clear usage arrangements. A partner relationship does not prove that every feature suits every company.
We claim neither an exclusive partnership nor joint programme results. Read the article about Woub from Bouwend Nederland for the public explanation.
What role will AI agents play in future construction projects?
One possible future scenario is an AI agent identifying a change, collecting relevant information and preparing a follow-up action. Collaboration between agents from different companies takes more than a technical message between systems. It requires a shared understanding of the project and clear authority.
Consider a changed delivery date. An agent might propose informing the parties involved. Before an external system or financial agreement changes, it needs to be clear which information is primary, who can act and when human approval is required. This is an illustrative future scenario, rather than a description of an existing Woub integration.
Make the project and agreement recognisable to everyone involved.
Determine which data may be shared.
Set limits on what a system can do independently.
Record changes and allow corrections.
Retain human oversight of decisions affecting planning, money or safety.
Reliable shared context is therefore a condition to investigate, rather than a guarantee that autonomous collaboration becomes achievable everywhere.
Our vision: Woub as a connecting layer between construction companies
We see a role for Woub as a connecting layer for ad hoc project communication between construction companies. Daily conversations and follow-up come together within the project they concern. Specialist systems keep doing their own work.
You do not need to wait for autonomous agents. Start with the agreement that risks getting lost today between a phone call and a separate chat. Organise where participants find it, how they check the outcome and who takes the action forward.

Frequently asked questions
What is shared project context in construction?
It means the relevant conversations, decisions and follow-up actions that the companies involved can share around the same construction project. Appropriate access permissions determine who can see which information.
Is the three-layer context model an official AI standard?
No. It is an explanatory framework developed by Woub for personal AI context, business context and shared project context. It is neither a certification nor a generally recognised AI standard.
Does Woub replace my ERP, BIM or planning software?
No. Woub always complements existing construction software and does not replace any part of it. It focuses on ad hoc project communication around construction projects.
Does Wouby AI already create tasks automatically?
Yes. Within supported communication, Wouby AI automatically turns identified agreements into tasks. Check the content and follow-up; have the precise assignment, deadlines and availability for your way of working confirmed.
Can AI agents from different construction companies already update external systems through Woub?
This article describes autonomous collaboration between external business software as a long-term scenario. It does not promise that Woub offers this feature today. An open API does not prove that a connection already exists either.
When is an AI notetaker sufficient?
A notetaker may suit you if you mainly want to record and process conversations. Also consider how the output reaches the right project and people, and how you organise follow-up.
