Project communication

How do you prevent fragmented communication during construction projects?

A supplier calls, the site manager sends a photo through WhatsApp and confirmation arrives by email. That need not be a problem as long as everyone knows which agreement now applies and who takes it forward. Fragmentation arises when those connections exist only in one employee's head.

Direct answer

Prevent fragmentation by organising daily questions, conversations and actions within the construction project straight away. In Woub, you work with project chats, recorded conversations and automatically assigned tasks. That means the office has to gather and forward outcomes less often. Woub replaces project WhatsApp and scattered communication routes, and helps reduce daily email; ERP, BIM, estimating, DMS and specialist planning keep doing their own work. Also document who decides, who acts and who needs feedback.

What does scattered communication cost on construction projects?

Scattered communication costs time and attention when people need to reconstruct the current agreement. A change starts in a phone call, the photo is in WhatsApp, and confirmation sits in a mailbox. Anyone looking at just one channel may miss the connections. The problem is not that every channel is unusable, but that the handover between them remains unclear.

The consequences differ by project. Someone needs to make extra calls, a construction project coordinator searches for the latest confirmation, or a crew waits for an answer. Sometimes a missed change leads to work being redone. Without measurement on your own projects, you cannot attach a reliable amount or fixed savings percentage to this.

The public Den Haan case makes this tangible. Construction project coordinator Thomas describes information arriving through different channels and preparation notes sometimes not travelling with people to the job. That is a specific handover problem: information had been prepared, but did not adequately reach the site team. It is one customer's experience, rather than a general measurement of time lost.

Measure a specific incident. Record who searched for which information, which extra action was needed, and whether work actually stopped or needed correcting. Keep search time and remedial work separate, and do not count the same action twice. Message counts say little about how useful the outcome is: a short conversation may contain an important decision, while twenty messages are only discussion.

What changes when the team can access the context themselves?

At Heldoorn Restauraties & Gevelwerken, the owner was the person collecting and resharing photos and information from email, WhatsApp and phone calls. The customer story describes how employees can access project information themselves with Woub and record information directly within the work. That is the main organisational difference: better storage, and less dependence on one person passing everything on.

Claassen & Smits describes a related separation: Woub for project communication, SnelStart for financial administration and invoicing. The case shows that communication can improve alongside existing software; it does not establish an automatic SnelStart integration.

Find the handover point

Take one recent agreement that was hard to find. Ask more than which app it was in; follow the handover:

  1. Where did the question or change arise?

  2. Who knew about it and who should have known?

  3. Where was the outcome confirmed?

  4. Who then needed to do something?

  5. Where could a colleague find the current status?

Then look at which part was missing. The situations below are examples, rather than measured error rates.

What do you notice?

What may be missing?

What do you agree?

Everyone knows a different delivery day

No recognisable latest confirmation

State which agreement replaces the previous one and from when

A question is sent but left unanswered

No owner for follow-up

Record who is waiting for an answer and who will chase it

A colleague finds the chat but does not understand the decision

A condition or source is missing

Keep the decision, condition and relevant source together

Someone covering still needs to call everyone

Context stays with one person

Have someone find the current outcome independently

This shows whether the problem mainly concerns searching, confirming or following up. A new app adds little if nobody agrees what to record in it.

How do email, WhatsApp, calling and project chat differ?

Every channel serves a useful purpose. Choose based on project context, access and follow-up as well as speed. Above all, the daily working agreement needs to explain how an important outcome becomes available to people who did not take part in the original conversation.

Channel

What does it help with?

Which check remains necessary?

Email

Targeted correspondence and coordination with existing contacts

Is the relevant outcome available to the project team?

WhatsApp

Is it clear which agreement is current and who oversees the next step?

Calling

Who records the outcome and outstanding conditions?

Project chat

Organising coordination within the relevant project

Are the right participants involved, and are the decision and action recognisable?

Email: send directly and coordinate externally

Email suits correspondence with parties outside the same project environment. It may also form part of an agreed formal route. Nor does email have to be personal information storage: Microsoft describes how a team can use a shared Outlook mailbox to track and answer messages.

Even then, it needs to be clear who handles a question and where the site manager finds the current agreement. Shared access and ownership are different things. The question is whether the chosen setup supports the handover, rather than whether email is inherently bad.

WhatsApp: easy contact

WhatsApp is familiar to many people. With several projects and groups, the team needs extra discipline to know which agreement is current. Assess what happens when someone is absent, leaves a group or a colleague joins.

WhatsApp now describes sharing recent group history with new participants. It would be incorrect to say a successor can never receive old messages. Check which context becomes available. Recent history does not automatically contain the full source, latest confirmed agreement and outstanding follow-up action.

Calling: ask further questions quickly

A phone call helps people reach an understanding directly. The outcome then also needs to be retrievable for colleagues who were not on the call. Agree who confirms what was decided and which action follows.

If a supported Woub conversation covers different projects, Wouby AI recognises the projects mentioned and links specific tasks to the right project. There remains one conversation record. Easily sharing parts of it in other projects is still in development. Ordinary mobile calls outside Woub are not automatically recorded through this route.

Project chat: coordinate around the same work

A project chat gives conversations a recognisable place. In Woub project chats, those involved can communicate and turn chat messages into tasks. The structure remains useful when the team chooses the right project, involves relevant participants and records important outcomes recognisably.

Woub also documents a specific chat-to-email route: a contact in a selected chat can receive messages by email and respond by email. This does not automatically collect all personal email or WhatsApp conversations. Check the specific route and recipients with a trial; messages and attachments in that chat may go to the external contact.

A quick response without a new email exchange

A short question about a dimension or unloading location often fits better in a project chat than in an email chain with ever-changing recipients. Those involved can respond in the same context. An emoji reaction to the message lets you deliberately show you have seen it without writing a separate ‘received’ email. Agree what such a reaction means: seen is not yet carried out or formally approved.

A fast app makes a fast response possible, but does not guarantee someone is available. Record a specific action as a task so that it does not disappear among messages after the short discussion. The differences are explained in Woub versus traditional calling.

For a more detailed product comparison, read Woub alongside WhatsApp and Woub alongside email. No channel makes clear working agreements unnecessary.

How do you centralise conversations without replacing everything?

Give relevant project communication a consistent place and agree how outcomes from other channels reach it. This does not mean every email, document and piece of business data needs copying. Those involved need to find the current outcome and know who takes the action forward.

Make one route the primary reference for each type of information

For daily coordination, decisions, actions and formal sources, agree where employees should look. A decision note contains what is confirmed, by whom and what remains open. An action has someone responsible and agreed feedback. A formal drawing refers to the current version in the designated environment. Financial processing stays with the person responsible in the administrative source system.

Woub always complements existing construction software and does not replace any part of ERP, BIM, estimating, DMS or specialist scheduling. For a change, make clear where official processing takes place. A message about a changed start date does not automatically update an external programme. Nor does an open API prove a working integration.

In small teams, focus on making handovers possible: the owner or site manager is not always reachable. At a medium-sized business, handovers between office, site and subcontractors are often important. In larger organisations, permissions, departments and different project practices also need attention. These are organisational considerations; headcount alone does not determine the right app or package.

What does Woub do automatically, and what remains a team agreement?

Recording thus becomes part of communication itself. You do not ask the site manager to type the same summary in another system after every phone call. Formal document approval or financial processing remains the responsibility of the designated person.

End a conversation with an outcome that can be found

Use four questions: what applies now, from when, under which condition, and who processes the consequence? Add the relevant source. For a change, also mark which earlier agreement is superseded. A new message somewhere at the bottom does not automatically cancel an old instruction elsewhere.

A fictional example: a supplier proposes delivery on Tuesday by phone. The site manager discusses this through WhatsApp, but the construction project coordinator first needs to coordinate resources. Record Tuesday as a proposal. After confirmation, the current delivery arrangement goes into the project with its source, person responsible and preparation to change. Tell those involved which earlier day is superseded. Discussion then does not become an instruction before the necessary coordination is complete.

Wouby AI produces transcripts, summaries and automatically assigned tasks from supported recorded conversations. If no work date is known, the task is dated today. Pay particular attention to important conditions and the correct person responsible. The default date is not proof that an external party has promised that deadline.

Start with one project and one type of handover. Have a colleague find the confirmed outcome independently. Measure whether they spend less time searching or recording information twice. Then add other situations. Centralisation should take over work; permanently copying everything manually into two places can create another source of discrepancies.

How do you prevent information loss when staff change?

Make project information usable for a successor before an employee leaves or is absent. A collection of old messages is not yet a handover. The successor needs to understand what is current, what remains open and who can provide an answer or decision.

A successor gets the history without individual forwards

Anyone added to a Woub chat sees the full available chat history within that context by default. You can add colleagues in bulk to several existing chats. The departing employee therefore does not need to forward every separate email exchange or screenshot. Available history and an overview of current open points complement each other.

Use a short handover within the project

Pass on the latest confirmed agreements and relevant changes. Put open questions alongside the person arranging an answer. For actions, check the owner, deadline and any condition. Refer to current drawings, reports and administrative references.

Then check access. The successor needs to see the necessary information; access for departing employees and external parties needs handling under the organisation's policy. Do not base the handover on a shared personal account. Revoking access alone does not retrieve emails or downloads already received.

Also reassign follow-up. A task visible to the person covering but still assigned to an absent colleague can cause uncertainty. Tell external contacts who their contact person is when needed for their work. Share only relevant project information, rather than the whole internal discussion.

Test understanding, rather than the number of stored messages

Ask the successor which agreement now applies, what it is based on and which action needs to happen next. Have them find one real open question and explain a changed agreement. If they still need to call three people, context, access or a clear status may be missing.

Carry out the same check with someone on site and an external participant. Not everyone has the same permissions or device. This is a proposed trial, rather than a product test carried out here. Record what goes wrong and adjust the working agreement before introducing it widely.

For the broader setup, read construction project communication. See how Woub keeps conversations within the project, or try Woub free for 14 days with one specific handover.

Frequently asked questions

How do I prevent miscommunication between WhatsApp, email and phone calls?

Agree where the current project outcome is recorded and who confirms it. Record the decision, condition, owner and timeframe with a source reference. When things change, state what no longer applies. Ask a colleague who did not take part in the conversation to check whether they understand the agreement and next step.

Do all construction partners need to use the same app?

For full project participation, those involved use a Woub account. Invited external participants join the contractor's paid workspace for free, including access to tasks and Wouby AI. For someone who only wants to reply by email, Woub has a specific chat-to-email route. This does not replace checks on recipients or project permissions and does not automatically collect all communication from other channels.

Does one central app solve fragmentation by itself?

No. Even in one app, agreements can be unclear, misplaced or outdated. The setup needs to connect the source, current agreement and follow-up. Test a change and a staff handover in particular; many stored messages do not prove a usable handover.

What can a contractor save through better communication?

That needs to be established through your own measurements. Examine searching time, extra queries, waiting and actual remedial work in specific situations. Separate causes and activities and avoid counting the same time twice. Without such measurement, a fixed amount or savings percentage is unsubstantiated.

How does Woub help alongside existing construction software?

Woub supports additional ad hoc project communication, conversations and follow-up tasks within the project. ERP, BIM, estimating, DMS and specialist planning retain their own roles. Refer to the current source and agree who processes changes in those systems; do not assume automatic synchronisation.

Does Woub replace email and ERP too?

Woub helps reduce daily project email and replaces WhatsApp as the chosen project communication route. Business email remains for correspondence and formal confirmations. ERP and specialist construction software continue to handle their own administration, models, documents and planning.
