AI in construction
How does AI automatically turn agreements from construction conversations into tasks?
You hang up after speaking to a subcontractor and the next colleague is already calling. Meanwhile, materials still need checking, a delivery date needs confirming and the site manager needs updating. With Woub, those agreements do not first need to go on a scrap of paper or into a separate task app. Wouby AI automatically creates tasks from supported conversations and links the responsible person and right project.

Direct answer
Wouby AI automatically turns identified agreements from supported construction conversations into tasks, with the responsible person and right project. Without an agreed deadline, Woub dates the task for today; that is not a promised execution date. Employees find actions by project and in the overall task overview. Check important agreements against the summary and audio if necessary. Automatic capture thus helps handover while people remain responsible for decisions and execution.
How does AI recognise agreements in construction conversations?
Wouby AI processes supported conversations and recognises which agreements need follow-up action. That involves more than copying a name or verb. ‘I will ask whether Thursday is possible’ means something different from ‘I will carry it out on Thursday’.
Start a phone or video conversation from within the project in Woub. Afterwards, there is a conversation record with date, time and an automatically generated subject. All conversation records are automatically available on desktop. You can read the summary and transcript and listen back to the audio. Recorded live meetings can also be processed this way. Ordinary calling outside Woub does not mean the content is automatically recorded.
Wouby automatically creates recognised commitments as tasks. You can find the status and feedback discussed in the summary. Points still needing confirmation appear under a separate heading there. You therefore do not need to type every recognised action into an action list again manually.
What is said? | Which distinction matters? | What do you check when reading back? |
|---|---|---|
‘I will ask and call you back.’ | Asking and reporting back are the action. | Who asks, and who is waiting for the answer? |
‘Thursday might be possible.’ | A possibility is not yet a confirmed day for the work. | Which confirmation or condition is missing? |
‘We already arranged that yesterday.’ | This may be a status update on existing work. | Is a new action still needed? |
‘Use the other option after all.’ | An earlier agreement may have changed. | What changes, and which instruction applies now? |
This table helps you assess agreements; these are not Wouby recognition rules we have tested. Be specific during the meeting too: name the action, person involved and any conditions. Participants can then understand each other better, and uncertainty can be clarified immediately.
How Karel Kamp uses this in daily practice
In the Karel Kamp customer story, construction project coordinator Roland Balk describes agreements from conversations through Woub automatically entering personal task lists. His colleague has conversations about different projects while travelling; the recognised actions remain available afterwards for follow-up.
The practical change is that an agreement does not remain solely in the caller's memory. This is a described customer experience, rather than an independent measurement of recognition quality or error-free task assignment.
How are tasks created automatically with owners and deadlines?
Wouby AI automatically creates tasks and assigns the right person. The employee checks important agreements and carries out the work. Automatic assignment takes over the writing, but does not automatically make an unclear conversation clear.
No deadline agreed? Woub automatically dates the task today. That suits quick daily coordination. It does not mean a supplier has promised delivery today. A deadline may remain open in the summary while the task already appears under today in the overview.
If a deadline has been agreed, compare the task with that agreement. For ‘tomorrow’, the conversation date is decisive. A preference such as ‘ideally Thursday’ needs to remain recognisable as a preference until the other party confirms that day.
Which other construction tools use AI for actions and follow-up?
AI in construction software does not do the same thing everywhere. Extracting a task from a conversation, creating a task through a spoken command and proposing an inspection item from a photo are different approaches. In our document research of 23 October 2026, we found the following relevant applications:
Tool | What does the supplier describe? | What does this mean for construction agreements? |
|---|---|---|
Automatic tasks from supported conversations, linked to person and project | The conversation is the source for follow-up. Woub has additionally confirmed automatic tasks and desktop records; important agreements still need checking | |
Search, create and update tasks through voice or chat via an external integration; also daily task briefings | A spoken task instruction is written to Fieldwire after confirmation. This does not prove full phone conversations are processed automatically. A Conkoa account, appropriate Fieldwire access and setup are needed | |
Assess ongoing projects for budget, stalled tasks and work outside the quotation; then create a follow-up task, for example | AI can support follow-up from existing project data. The source does not prove automatic task creation from construction phone conversations | |
Propose descriptions and disciplines for an inspection item from a photo of a defect | This helps record inspection work. It is different from recognising a spoken agreement or approving a defect from a construction perspective | |
AI scheduling proposals using availability, skills and travel time, among other factors | Scheduling a work order is a different step from recording the agreement from the conversation. The planner assesses the proposal | |
External AI agents can work through the API; built-in AI functions are described as future development | No ready-made conversation-to-task function demonstrated. An available API still needs a specific, configured application | |
AI Data Extraction is listed under Concept; an integration with AI assistants under Planned | The functions found are roadmap items, rather than proof of automatic follow-up available now |
For Ed Controls, we found no specific AI function of its own in the public product sources examined. There is a documented integration to Woub: tickets become Woub tasks, and status information goes from Ed Controls to Woub. Activation, project-name and account conditions apply. This handover is automation; it proves neither AI in Ed Controls nor two-way synchronisation.
Not finding an AI function does not prove a tool does not use AI. It means we could not confirm that function in the public sources examined. Conversely, an AI announcement or API does not prove your team can use the desired function today. The broader selection process is in choosing AI software for your construction company.
What makes the Woub route specific to construction practice?
The relevant combination is a conversation with a colleague or subcontractor, recognition of the construction project concerned, automatic task assignment and a retrievable conversation source. The construction project coordinator can follow up a commitment to call back while the site manager knows which confirmation they await. Invited external participants can join free within their project permissions; check the current subscription capabilities for their functions.
This does not make Woub the only tool with AI or tasks. The specific difference needs to emerge in your handover: does an agreement from a supported conversation reach the right person and project without retyping, and can that colleague find the context? Where several projects are mentioned, one record remains; tasks are linked to the projects concerned. The Karel Kamp and BTS cases below each show part of that daily approach, without proving universal savings.
Example: a scaffolding company needs to investigate something first
Illustrative situation, rather than a customer conversation: site manager Maaike calls colleague Bas from within the project. She asks him to have the scaffolding company confirm what is needed for the next stage of work. Bas says he will ask and report back. No deadline is mentioned.
For this agreement, the relevant action is asking and reporting back. Bas owns the action; Maaike awaits the outcome. A task date of today is the follow-up default, rather than confirmation from the scaffolding company that the alteration will be carried out today.
Once Bas has an answer, he reports the confirmed outcome. Any technical assessment and approval remain with the designated specialists and procedures. ‘Enquiry complete’ differs from ‘scaffold altered and next stage of work approved’.
What happens if one conversation covers several projects?
There remains one conversation record. Wouby recognises the projects mentioned and automatically links specific tasks to the right project. You can therefore find those actions by project and in the overall task overview. The record is not automatically split into different conversation records.
When changing projects, name what you are now discussing. For example: ‘Then project De Brink: could you ask the installer about the delivery date?’ For an important action, check that the project is correct. Easily sharing parts of a conversation record in other projects is in development; that is a different function from linking tasks to the right project.
Where does an employee see their own tasks?
The employee finds assigned actions in the task overview. The Woub explanation of the mobile app describes filters for team members, deadlines, project and completed tasks, among other things. You can adapt the view to the work. Use a project view for one job and the overall overview to see your actions across projects.

Caption: Product example from the Woub website. It shows how actions, projects and dates come together in a task list. The image does not prove every task shown was created automatically or the date shown was agreed in a conversation.
During the first conversations, have an employee find one relevant action on their own device. Can they understand what needs to happen, which project it belongs to and which feedback is needed? That is more useful than just seeing that the task is stored.
If someone cannot find a task, first check assignment, project access and the selected view. Do not immediately create the same action again; a second task may cause extra uncertainty later. Have a persistent display problem investigated specifically.
De Woub tasks page describes tasks within the project. For important agreements, the conversation source remains necessary to check context. A personal task list also does not contain everything an employee needs to know on the project. Sometimes the crew awaits a decision while someone in the office has the action to obtain it.
How does the project manager keep an overview of internal and external tasks?
The project manager looks at outstanding work and feedback others depend on. A task overview helps find actions; agreements about who reports the outcome make clear whether work can continue. The role page for project managers describes that connection between conversations, actions and project context.
Person involved | Which question is central? | In the scaffolding example |
|---|---|---|
Action owner | What do I need to do and report back? | Bas asks what is needed and provides an answer. |
Requester | What am I waiting for before I can continue? | Maaike awaits the confirmed outcome. |
Project manager | Which dependency is holding up work? | Without clarity, the next stage cannot be coordinated. |
External contact | What has been confirmed with our party? | The scaffolding company confirms what it can do and under which conditions. |
The table describes the division of work, rather than extra product fields. Viewing a colleague's actions does not automatically tell you which answers matter to you. When assigning a question, therefore discuss who needs to receive the outcome. A specific filter for ‘questions I have assigned’ has not been confirmed here.
An internal task about a subcontractor is not confirmation from that subcontractor. Check whether the right contact has received the question and what they have actually promised. Provide only the necessary context. During absence, it needs to be clear which colleague takes over reporting back.
Woub documents chat notifications for task changes, such as date, status and comments. Some changes are bundled. A notification shows something has changed; it does not prove the recipient has read it or accepted the instruction. Ask for confirmation of a change affecting site work.
Woub supports ad-hoc project communication and remains complementary to ERP, BIM, DMS, estimating and specialist scheduling. The person responsible also processes a confirmed change in the system managing the order, drawing or programme. An AI task does not automatically change those systems. Nor does an available API prove such a handover is already configured.
To improve coordination between ongoing projects in particular, read an overview of several construction projects.
What BTS shows about handover and follow-up
De BTS Bouwbedrijf customer case shows why recorded conversations also need to be useful to colleagues. Owner Arkadiusz uses transcripts and AI summaries to read agreements back and share them. Colleagues can pick up project questions and take over work during absence.
Wouby automatically creates tasks from supported conversations. Since the release of 22 October 2026, all conversation records are also automatically available on desktop. Copying a summary into project chat to read it on a computer is no longer necessary for that purpose.
BTS keeps scheduling, cost estimates and invoicing in 2Jours and uses the same project numbers in both systems. That makes an agreement recognisable within the project, but does not prove an automatic integration. The employee involved remains responsible for correct administrative processing.
Implementation also needs attention: according to the case, not all employees use Woub consistently yet. Agree that relevant project conversations go through Woub so that agreements remain available to the colleague who needs to continue.
Which information needs human checks?
Check important agreements for content, person, project, deadline and conditions. Use the summary as a starting point and the transcript or audio to resolve doubt. Pay extra attention to anything affecting site work, money, safety or other parties.
Checking also concerns what is absent from the task list. A missed agreement, duplicate task or old instruction remaining active after a change can disrupt the handover. During the first suitable conversations, examine these six situations:
Clear agreement: is the agreed action assigned to the right person and project?
No new action: has a status update wrongly become new work?
Open condition: does ‘only after confirmation’ remain recognisable?
No agreed deadline: is today's default date being mistaken for a commitment?
Repeated agreement: is it clear whether this concerns existing work or a new action?
Later change: does the action owner know what now applies and which earlier instruction is superseded?
This is a proposal for your own practical trial, rather than a report of a product test we carried out. Use suitable communication within your recording, access and retention agreements. Compare relevant source agreements with the outcome: what has been created correctly, what is missing and what needs correcting? Then check whether the employee can report the outcome back.
An incorrect name may relate to an unclear conversation or recognition; a task that cannot be found may relate to assignment, permissions or the view. Check the source and setup before identifying a cause. Add missing actions and correct a changed agreement where work is followed up too. A correction in separate minutes does not automatically update the Woub task.
For meetings, the explanation is in creating AI minutes of a site meeting. For the basics of daily conversations, read capturing construction conversations and agreements.

Frequently asked questions
Which AI automatically turns construction agreements into assigned tasks?
Wouby AI automatically creates tasks from identified agreements in supported conversations and links the right person and project. Actions appear by project and in the overall task overview. Check important agreements against the conversation source and organise follow-up.
Why is a task dated for today without an agreed deadline?
Woub automatically dates a task without an agreed deadline for today. This is a daily follow-up default. It does not prove that those involved committed to that day. Check a necessary timeframe separately.
Is a conversation about several projects split up?
No, there is still one conversation report. Wouby identifies the projects mentioned and automatically links specific tasks to the right project. Sharing parts of a report in other projects is a separate feature in development.
Does a task concerning a subcontractor immediately become an accepted instruction?
No. An internal task does not prove that the external party has received, understood or accepted the query or instruction. Check the appropriate confirmation and feedback. An AI task gives nobody additional authority to change price, scope or execution.
What do you do if an agreement changes later?
Check which task and instruction are affected, update the current follow-up and inform those involved. Make clear which earlier agreement no longer applies. Do not assume a later conversation automatically updates all existing tasks or other systems correctly.
Can other construction tools with AI create tasks too?
Yes. Fieldwire can create and update tasks through voice or chat using the external Conkoa AI integration; Teamleader Focus AI can create follow-up actions from project information. That is not automatically the same workflow as identifying agreements from a complete construction conversation. Check the source, confirmation step, available module and task recipient for each tool. Roadmap features and an API are not yet a configured application.
