AI in construction

How do you use AI in construction? Practical applications for contractors and project managers

A delivery is delayed, the site manager calls and the construction project coordinator needs to inform three parties. AI can help capture that conversation and make follow-up actions visible. For a construction company, the choice therefore starts with the work that needs to run better: following up agreements, determining quantities, reviewing a programme or processing invoices.

Direct answer

Use AI in construction by choosing one work process and having the appropriate professional check the output. Wouby AI helps with project conversations, summaries and automatic tasks from identified agreements. Use appropriate specialist software for quantities, model information, programme analysis and financial processing. Decide in advance what information the AI receives, who receives the output and who approves changes. Start with one project and measure the checking work too.

Which AI applications are useful in construction?

AI is particularly useful when you can identify a clear source, desired output and responsible person. Summarising a conversation requires different information from counting doors on a drawing. A good summary also does not make an incorrect drawing current.

Not all automation is AI. A fixed reminder follows a configured rule; AI can recognise language or investigate patterns in data, for example. Assess how it actually works, even when a supplier calls a feature ‘smart’.

Use this selection guide. The examples are applications to assess separately, rather than a package where everything is available as standard.

Work you want to support

Information needed

Useful AI output

Who checks?

Writing up conversations and site meetings

An intelligible recorded conversation within the right project

Transcript, summary and identified actions

Conversation participant or person responsible for the report

Following up agreements

A specific commitment and its context

A task someone can pick up

Task owner and person responsible for the project

Investigating possible delay

Relevant project information and available analyses

An alert to examine further

Project manager or planner

Determining quantities

The correct drawing and recognisable components

Components identified and counted

Construction estimator

Assessing model quality

Current models and recorded project data

Issues and trends

BIM coordinator or relevant specialist

Processing financial input

Invoices, posting history and configured rules

Recognised data and proposed postings

Administration team following its own checks

The distinction is practical. If important commitments disappear after calls, start with conversation capture and follow-up. If the estimator mainly loses time transferring counts, investigate quantity measurement. That prevents a construction company buying one AI tool and then expecting it to solve every process.

AI for conversations and site meetings

AI can turn conversations into information colleagues can act on. The added value arises when that information reaches the right project and people. Calling and site meetings each require their own workflow.

Calling from the construction project

At calling through Woub you start a voice or video call from the project chat. Afterwards, a transcript and summary are available. This helps the construction project coordinator who needs to read what the site manager discussed with a colleague, for example.

Make this project selection part of the habit. An ordinary phone call outside Woub is not automatically captured as a result. If a discussion covers several jobs, name the projects clearly and check afterwards where the agreements belong. That prevents a correct agreement ending up in the wrong project.

Recording and writing up a site meeting

For a meeting on site, use the feature for recording meetings. Wouby creates a transcript, summary and action items. Have someone check that proposals, decisions and conditions are correctly distinguished. A comment such as ‘Tuesday works if the scaffold is available’ must not become an unconditional agreement for Tuesday.

If you need formal site meeting minutes, follow the agreed report format and approval process. The AI output provides input for that. Pay particular attention to names, quantities, revisions and decisions affecting money, planning or site work.

In practice: informing colleagues at Karel Kamp

In the current Karel Kamp customer case construction project coordinator Roland Balk describes how employees sometimes call him and sometimes Angelo. The summary in the project chat lets him read what was discussed on site. The value here is handover to a colleague who was not on the call.

Roland also uses exported transcripts with his existing minutes template in ChatGPT. That is the customer's own processing step, rather than a demonstrated automatic ChatGPT connection. The case illustrates the workflow; it does not prove a fixed result for other construction companies. Before an additional processing step like this, assess which project information you may use in the chosen AI workspace.

AI for tasks and follow-up

Within supported communication, Wouby AI automatically creates tasks from identified agreements. This goes beyond reading a report afterwards. Check content, assignee and timeframe: an automatically created task is only useful when someone understands what needs doing.

Consider this illustrative construction situation, rather than a measured customer result. A supplier reports that insulation materials will arrive late. The site manager calls the construction project coordinator through the right Woub project. They agree that the project coordinator will confirm the new delivery before 15:00 and inform the subcontractor involved.

Follow-up consists of three verifiable steps:

  1. Check what was agreed. Are the project, material and time correct in the summary and identified task? Is delivery already confirmed, or does that still need doing?

  2. Make the work actionable. Check the task owner and deadline. Add missing information and let the subcontractor know which agreement is changing.

  3. Confirm the result. The construction project coordinator processes the confirmed delivery date in the planning or administration system used and reports back in the project. A Woub task does not automatically move that date in external software.

Woub's additional value here lies in combining the project conversation and follow-up action. You do not first need to retype an identified agreement from a separate report into another task app. You can also directly capture a chat agreement as a task.

If your current application already supports conversations, responsibilities and feedback well, and the parties involved use it, a second task list for the same work adds little. Choose one agreed place for daily project actions.

AI for risks and costs arising from errors and rework

AI can draw attention to information that deserves further investigation. The difference between an alert and a conclusion is essential. ‘The delivery has not yet been confirmed’ is a reason to call. It does not yet prove a team will be idle tomorrow or that costs arising from errors and rework have already been incurred.

In the Karel Kamp case, Angelo describes daily project analyses covering possible delays and missing materials, and weekly waste overviews. This is reported use at that customer. The Wouby AI product page also describes alerts and analyses. Have availability and report format confirmed for your workspace: the pricing page also lists a waiting list for Pro. Do not assume one customer's precise setup is standard for every subscription.

Keep handling an alert simple. The project manager finds the relevant agreement, checks the current situation and assigns a follow-up action if needed. If the supplier has since confirmed, update that. If material is genuinely missing, determine who arranges it and who needs to hear in time.

A risk alert from communication does not replace a building inspection, safety assessment or final financial cost analysis. To claim savings in costs arising from errors and rework, you need to establish what actually happened and how you measured it. A list of warnings is insufficient.

AI for planning, estimating, BIM and ERP

For specialist work, assess AI within the application managing the necessary data. Specific capabilities already exist outside project communication. Always examine supported input, output and the checking still required.

Planning: assessing where delays may arise

Oracle documents in Construction Intelligence Cloud Advisor predictive analyses for projects tracked in P6 EPPM or Oracle Primavera Cloud. This route uses project and planning data. It requires a different setup from identifying an agreement in a phone conversation.

When a delivery changes, the planner assesses implications for sequence and capacity in the planning software. Woub helps keep the reason, coordination and follow-up actions within the project. The planner remains responsible for processing and confirming the updated programme.

Estimating: finding components on a drawing

With Symbol Detection in Autodesk Takeoff you select a symbol on a 2D drawing. The software finds similar symbols and lets you check the instances found before saving them as quantities. Missed or incorrectly recognised components therefore still need the estimator's attention.

This is quantity measurement, rather than a complete approved estimate. Norms, prices, methods of work and exclusions remain part of estimating. Woub can help clarify an unclear scope question with those involved; the estimator processes the confirmed outcome in the estimating package.

BIM: examining model and project information

Autodesk Construction IQ and Model Analytics show analyses of design, quality and model data, among other things. Autodesk describes how users examine issues and discuss the most important subjects with the parties involved.

Use such analyses where the models and records are held. A model finding then needs to reach the right specialist. If an additional Woub conversation is needed, record which issue or revision you refer to. The BIM coordinator processes the formal outcome in the model workspace; a conversation does not change the model.

ERP and administration: recognising and processing data

Exact Online describes Scan & Herken for reading receipts and invoices and preparing postings. That is a different task from capturing why additional material was needed on a project. The example concerns Exact Online Boekhouden; you cannot attribute this behaviour to every Exact product without checking.

The administration team retains financial processing and checks in its own system. Woub supports the conversation about the reason and any follow-up action. An automatically created task does not mean approved additional works, an order or a payment.

Woub therefore remains complementary to ERP, BIM, estimating, DMS and specialist planning. Those packages can also support tasks, messages and collaboration themselves. Add Woub where daily coordination between office, site and external parties is inadequately handled there. How do you choose suitable software and safeguard privacy?

Start with one recurring problem the team recognises. Then test the entire route from input to execution. For a small construction company, that might involve one site manager and one office colleague. In a larger company, also involve whoever is responsible for existing systems and data processing.

Test one project with clear agreements

For example, choose one project with regular phone discussions over two working weeks. This is a suggested trial design, rather than a product promise. Involve a subcontractor too if they form part of the intended workflow.

Agree beforehand which conversations go through Woub, who checks summaries and tasks and which software remains primary for planning and administration. Use Woub for that project communication instead of a parallel WhatsApp group. A separate task app, if used, can be retired for the same project actions; relevant project email may decrease if the team agrees arrangements.

Afterwards, assess four things: how much work checking took, which agreements were missing or needed correction, whether the right person picked up actions in time and whether site teams could find the information themselves. Compare total write-up time with a few similar conversations before the trial. Do not measure time savings by counting only the speed of the AI summary.

Arrange data use before recording

A recording with voices and names may contain personal data. Determine the purpose, appropriate lawful basis and information needed. The Autoriteit Persoonsgegevens explains the requirements for consent. Consent is one possible lawful basis; freely given consent cannot be assumed in an employment relationship.

Inform participants clearly about processing, access, sharing and the retention period. The AP explains this under the right to information. Have the person responsible for privacy assess which supplier arrangements are needed and whether a DPIA is required. Ask the supplier which processing arrangements apply, where recordings are processed and whether input is used for model training. Assess any export to another AI tool afresh. Being able to start a recording does not automatically make processing permissible.

Start small. Experience greater peace of mind. Only then expand. Explore the current subscriptions and conditions and try Woub free for 14 days with your own project.

Frequently asked questions

Does every phone call need to go through Woub to use AI?

For the Woub calling feature described, you start the conversation from the project chat. An ordinary call outside Woub is not automatically captured as a result. You can also record an in-person meeting or site survey using the recording feature designed for it. Agree which route the team uses for each process.

What do you do if AI misses or misunderstands an agreement?

Check the summary and tasks against the conversation. Correct inaccurate information, add any missing task and confirm unclear agreements with those involved. Assign someone responsibility for this check; a missing deadline or name needs to be clarified first.

Do you need to connect all your construction software before starting with AI?

You do not need to connect all existing software before trialling Woub project conversations and task follow-up. Agree who processes confirmed changes in planning and administration. Transferring data to other software requires a separately checked integration; an open API does not make every connection automatically available.
